Highlights of the January 26 Meeting of the Deercreek Board of Directors

A quorum of the DCCOA Board of Directors convened January 26th for its regularly scheduled meeting. The Board was called to order and two motions were immediately heard and passed unanimously; one for this meeting's agenda, the other for the minutes from the November 30th meeting.
Committee reports started with Finance.
The Finance Committee Liaison made a motion to stop sending coupon books to members in 2013 and it was passed unanimously. There was an addition to bad debt of $5,000 as of December. It was discussed that the bad debt expense for 2012 would be $26,000. There was discussion regarding the estoppel letters requesting payoffs on homes. The Florida Statute was also discussed regarding how much the banks are required to pay. The audit review will be in February and the auditor will meet with the finance committee. The water bill has increased monthly. JEA is sending out a technician to inspect the meters for leaks and a usage report will be issued with the history of the meter readings. Connors needs to inspect the irrigation controls to make sure they are set properly and to look for leaks and/or broken irrigation heads in each zone. Common Properties Liaison will meet with Connors to review and discuss possible leaks. The association has spent $700 mailing coupon books to the owners.
Access Control, Covenant Enforcement, and the Architectural Review Board (ARB) each had a light month. The Gateworks contract is pending and is projected to start April 1st. ARB had nothing to report and Covenant Enforcement heard a plea for consideration for yard debris pick-up sighting the city had missed their street. The plea was accepted. There was a new member added to the Common Property committee.
Communications briefed that the committees' rules and charter are being reviewed to consider the electronic sign. Changes were made and this will be brought before the board at a later date. The committee has been working with access control in regards to Gateworks. There will be a link from the website to Gateworks. A training tutorial will be available. A list of names has been provided to Gateworks. A mailing will be sent to all residents. A discussion regarding selling advertising space on the sign was had. The Board determined there was not enough time when passing through the gate to see advertising as well as the important community events.
Under Old Business the Board addressed the proposal for restriping the "Stop Bars" The Board passed unanimously the proposal for $1,200. There was also a lengthy discussion over the verbal abuse the gate guards are enduring. There is a letter going to the owner whose child is principally responsible for this misconduct. With regard to sidewalk repair Common Property persons will walk the property and determine which sidewalks they are responsible for and which are the responsibility of the owner. Letters will be sent to those owners who have damaged sidewalks.
New Business discussion was about repairing the gate on McLaurin Rd with insurance money and the lighting repair proposal they were both unanimously passed. Finally, T-Mobile has put the contract on hold and a Board member requested that a letter should be sent with a deadline for a signed contract and payment in full or Deercreek will withdraw the offer easement access. The board agreed no letter will be sent at this time.

New Security Software Program Effective March 15

The EZ gate software system currently in place that allows guest entry and database information will be replaced on March 15.
The new system called GATEWORKS is used in other high end gated communities. It has many great features and is a leader in gate software systems.
All homeowner/residents will be receiving a letter that outlines the implementation that will take place. In addition, instructions will be on the web site.
For residents without internet capabilities, there are no changes. Your procedure is the same. Please continue to call the gate with your guest requests.
For residents who use the on line features you will continue to access the Deercreek web site (www.deercreekcc.com) and click on the new GATEWORK's icon that will bring you to the guest entry page. For security, the first time, and only the first time, will you go through a security ID process before you can proceed to your on line database information.

Become Involved in the
Deercreek Common Property Committee

At the end of the February 9 meeting of the Common Property Committee, Mary Stelbrink, chair of the committee for the last six years, submitted her resignation immediately. Mary resigned so she could spend more time traveling with her recently retired husband.
Mary has been a resident of Deercreek since 1989. She was the tenth new resident of Deercreek. She has been and will continue to be active with the Garden Club. She has been a member of the Common Property Committee for about fifteen years and chair for the last six. Her leadership and constant attention to maintaining our common property will be greatly missed. She has been a real treasure to the Deercreek Community.
As the Board of Directors liaison to the Common Property Committee, the role of chair of the committee has temporarily defaulted to me. I know I do not have the time to devote to the position over the long term. Thus my first task is to find a new chair of the committee. Thus I am putting the word out that Deercreek needs someone else to step up and fill the position. We need someone who loves this community and wants to be sure that its beauty remains intact. Mary estimates that on average she spent 2-3 hours a week on common property matters. Ideally, the chair would also be available during the work day to occasionally meet with contractors. We could possibly consider having co-chairs of the committee, to lessen the time commitment on any one individual. I may also be asking the other members of the committee to be responsible for particular aspects of maintaining common property instead of one person handling it all. Thus one member may be in charge of the lakes management and another for the fountains.
Nevertheless, the Deercreek community needs a new chair. I would ask each of you to consider whether you could make time to give back to this community by volunteering for the position to help maintain our property values. Don't Forget...
- Your Owner's Association dues are due by April 1st.
- You can find neighborhood teen services on the Deercreek web site, including babysitting, pet sitting, car washing, yard work, and tutoring. Go to www.deercreekcc.com and click on the "Teen Services" tab under "Information" on the column on left.
- March is a good time to fertilize your lawns when new growth appears. It's also time to prune and fertilize your Azaleas when they finish blooming, and fertilize your palms.

Deercreek Tigersharks
Swim Team
ABOUT US:
The Deercreek Tigersharks are one of twenty swim teams in Jacksonville that make up the River City Swim League. The league is designed to encourage children to learn and actively participate in swimming regardless of skill level. As part of the RCSL league, the Tigersharks take part in 6 dual meets throughout the summer and a Championship meet at the end of July. Participation in meets is not mandatory but is strongly encouraged.
ELIGIBILITY:
Kids ages 4-18 (younger if comfortable in the water)
Must have a family member who is a member of the Club
REASONS TO JOIN:
- Unbeatable full body exercise
- Great for weight loss or cross training
- Great way to make friends
- Become part of a team and comradery
- Learn to swim, learn technique or improve technique
- Great for beginners or advanced swimmers
And most importantly it's FUN!

Women's Alliance
Submitted by Elizabeth Curtin The Shamrock Scramble is back! The Deercreek Women's Alliance is hosting this great tournament again! So get your foursome together, pull out your favorite green outfit and plan on having a great time. It starts on Sunday, March 11, 2012 at 1 pm. There will be an Irish dinner, raffle prizes, a keg of beer and more. Invite friends and family, neighbors and business associates - all are welcome to play. The price is $85/person or $300/foursome. This includes entry fee, cart fees and dinner. Even if you're not playing, please come and join the golfers for dinner at a cost of $25. Look for the registration form in this newsletter. Deercreek Home and Garden Club

Exciting programs and events await the members of Deercreek Home and Garden Club in the coming months. It would be a great time to join if you are not already a member.
Thursday, March 8 will find members gathering for a field trip to visit Sally Corporation, a Jacksonville based company which designs and makes many of the animated figures that amaze and delight millions of visitors to Disney and other attractions. We will meet in the pool parking lot at 9:15 A.M. to carpool, and will enjoy lunch downtown after the tour.
On Thursday, March 22, our regular meeting day, our speaker will be Mary Habres of Encore Design, who will discuss "Interior Design and Color Selection". Many members gather at Deercreek Club to share conversation and lunch before the meeting, which starts at 1:00 P.M. It is not necessary to be a member of Deercreek Club to order lunch on meeting days. Reservations (363-1604) are welcome, but not required.
April brings not only showers (we hope), but the annual Deercreek Home and Garden Fashion Show Luncheon. This year's theme is "Secret Garden", and the garden theme will inspire many aspects of the event. Fashions will be provided by Dillards. More details will be revealed next month, as members receive their tickets and a letter with more details. If you are not currently a member but would like to attend the fashion show, you can contact Marie Smith, 519-8103, for tickets.
Residents of Deercreek or members of Deercreek Club are welcome to attend a meeting to decide if they would like to join. Membership Chair Mary Lou Roberts will be happy to provide more information if you telephone her at 519-6690. Dues are $20 a year.

Pedestrians, Please Stay on the Sidewalks
Spring is in the air, and our tennis shoes are calling to us. Deercreek is a beautiful community for walkers, runners and dog walkers, and we have wonderful sidewalks throughout.
When driving, it's sometimes difficult to see pedestrians in the street, especially at dawn, dusk or in the dark.
When on foot, practice safety and stay on the sidewalks when possible, wear reflective clothing in the dark, and always be mindful of cars.

Sweetheart Scramble Submitted by Kathy Nyman Nine Couples braved the cold temperatures in a two-person scramble on Sunday, February 12. Peter and Janet Daechsel came in first, followed by Mike and Terry Templeton in second. Dudly and Penny Mendheim and Tom and Mervi Hamby tied for third. 
Caring for your Course Submitted by John Townsend Winter has almost passed, Spring is around the corner and tournament season has arrived. We received our new golf cart fleet in December and plan on keeping the fleet in pristine condition for the next four years. In order to keep the carts in pristine shape we need your help. Beginning this year golf cart battery life is based on the hours each cart is driven, not the years in our fleet rotation. In order to maintain the life of the cart batteries we ask that when playing golf please take no more than 2 club carts per foursome. Private cart owners do not have to let another person ride in their cart. However we would appreciate your decision to let others ride in your cart if you so choose to help the club. Also there are a few other issues that need to be addressed. We ask that golfers please refrain from driving the golf carts in cart restricted areas. Some cart-restricted areas are marked ground under repair, are roped off or have signs restricting cart access. Other areas are not marked but should be known to all golfers. For example around greens and tee boxes, the scorecard notes that you are expected to remain 30 yards from all tees and greens. The Driving Range Tee should NEVER have a golf cart driven on the tee. Please Respect Your Golf Course, respect your fellow members, and respect the golf shop and your clubs committee members. If you disagree with decisions that are made, I challenge you to join a committee, and get involved with Your Club. There are many members who volunteer their time and efforts working on various committees, with the goal of making Their Club better. Respecting your club means staying on the path when it is cart path only, and not making ruts in the fairway. It is raking bunkers, filling divots, repairing ball marks and caring about your course and respecting others. I am exceptionally excited to be your Head Golf Professional and I look forward to an awesome 2012.
