Designing Your Mail Center

Careful planning of your mailroom layout is vital in the overall planning of your business operations. The mailroom needs to run efficiently in order to maintain the flow of information needed to keep your organization functioning properly. Many times companies give their mail center lower priority than the rest of their operations causing their core business to suffer.

The size of your mail center is the first stage to consider. How you determine how much space you need depends upon your mail/package volumes, not just current levels, but also forecast ahead five to ten years. The second important factor to consider is the number of staff members who will be working in the mail center. Thirdly, consider what kind and how many pieces of equipment and furniture you need based on the above information.

Making full use of the space available to you is something you must achieve in order for your company's processes to run smoothly. You will need to also consider automation vs. hand sorting. This will help you to determine if your space will be needed for larger machines or for more staff members.

The type of shelves, slots, tables and storage that you use will play an important role in the overall functionality of your mailroom. The type of mail you plan to receive should be considered and then you plan your storage space and furniture accordingly. For example, if most of your receiving mail will be letters and flats, then your storage racks would be different than if you were going to be receiving a large amount of packages and parcels. The functionality of your mailroom will greatly increase by conducting an assessment of your incoming AND outgoing mail.

A well designed mail center maximizes the use of space which in turn optimizes your overall business operations. If you would like to learn more about mailroom design and mail centers please email Deron Jett at deronj@omgservices.com or call toll free 800-207-4807.

U.S. POSTAL SERVICE ANNOUNCES 2011 SHIPPING PRICES

A host of new flat-rate product innovations will be ushered in with the new year when prices for Priority Mail, Express Mail and other Shipping Services change Jan. 2, 2011.

The overall price change for all Shipping Services products, which are adjusted each January, is 3.6 percent.

Extending the popularity of its Priority Mail Flat Rate products, the Postal Service next year will introduce a legal-size flat-rate envelope measuring 15-by-9.5 inches and a padded flat-rate envelope measuring 12.5-by-9.5 inches, both priced at $4.95. All six types of Priority Mail Flat Rate envelopes will be priced the same as the regular Priority Mail Envelope (12.5-by-9.5 inches) at $4.95, including the Gift Card Flat Rate Envelope, Window Flat Rate Envelope, and the Small Flat Rate Envelope.

Pricing for the Express Mail Flat Rate Envelope will remain unchanged at $18.30, but will be joined by a new Express Mail Legal Flat Rate Envelope (15-by-9.5 inches) at the same price.
