Talk about a Shock! Preparing for Power Outages and other unpredictable computer disasters . . . .
We at Tangible Solutions believe that failing to plan can be a powerful plan for failure. This is especially true when it comes to Preparing for a power outage or disturbance. In this day and age, a power outage can be devastating to a business, playing havoc with much of what we use to do our jobs. The typical medical practice is no different than any other business facing a disturbance.
Fortunately, most power issues are not total outages, but, the potential devastation of an outage can be prevented by some simple planning. Studies show that 80% of most small business' power quality problems are created inside the facility! Large power users like air conditioners can cause significant surges and dips that affect other office equipment when they are cycling on and off.
So what can you do? There are two easy ways to protect your equipment against power quality problems: 1) surge suppressors and 2) UPS or uninterruptible power supplies. Surge suppressors are designed to smooth out power supply and can be used to protect against other sources of power disturbances like cable, telephone or modem lines. UPS equipment actually contains a battery, which is able to provide back-up power in case of a power failure, allowing enough time for computers to be properly shut down with out damage or data loss. Remember, power strips that are sold in most retail stores often do not provide the type of protection that is needed in a medical practice setting.
Additionally, it is also very critical to back up your data on a regular basis. If your system runs on a LAN it is especially critical for you to frequently back up your data. It is also a good idea to store this back up information offsite. If you are one of our many Happe Hosted clients, we handle performing the back-up and storage of your data automatically.
For those of you using our Happe-MDs service there are other circumstances besides power outages that can cause an interruption to your database access. Whether a wireless access point quits, cable/dsl modem fails, an Internet Service Provider drops or some other Internet disruption, there may be times where you can't access your e-MDs database. This doesn't have to mean that you can't see patients. Many of our customers use a simple solution when they can't access the database...they use paper. Sounds old school for sure, but it is effective. Simply documenting the visit either with a paper chart, or even a word processing application can get you through a temporary outage. Of course the front desk staff will usually ask, "how will we know what patients are coming in?" True without access to schedule they probably won't know that answer, however you can contact our help desk at 704-940-4200 option 8 and have your schedule faxed to your practice.
We sincerely hope you will not suffer a disruption in service, but if you do, it won't necessarily mean you have to shut down your practice until service is restored.

Health Information Exchange - HIE
Now that the Meaningful Use era has progressed well into the first stage, folks are starting to look at what is coming next in stage two. Among the next steps is a greater push to start connecting providers not only with one another but with hospitals and state entities. While some providers will opt to use the same "system" as the hospital to make a connection, it may not fulfill the need to share information with immunization registries or other third-party organizations. Health Information Exchanges are being created to help facilitate the sharing of information among various participating entities. In each instance though, one obstacle remains, actually connecting and properly formatting data.
This is where Tangible Solutions fits into the equation. Over the past few months, we have been working with several state registries and numerous practices to develop solutions for submitting data. In addition we have established a data hub for a major lab company to handle the processing of both lab orders as well as results.
This has proven to be a good start in developing solutions for the industry, however we are interested to learn what other solutions are needed. Therefore we invite you to participate in a short survey on Health Information Exchange. This survey should only take a moment or two and would be greatly appreciated.
To participate in the the survey, simply click here.

Tips, Tricks, & Shortcuts
Entering a Session Key Often times when dealing with our technical support staff, you will be encouraged to allow them direct access to your computer. The process involves having the end customer enter a "session key" and then granting permission for the technician to control the computer. We have worked to simplify the process of entering the session key by placing the entry field at the top of the Happe-MDs home page as illustrated below. So the next time you need enter a session key, just look for the box on the Happe-MDs site.

Attention Zirmed Customers
