We have been gathering best practice tips for over ten years from the best appraisers in the country and now we'd like to share them with you.
The 3 R's
It used to be reading, writing and arithmetic.   Now it refers to Jack Johnson's lyrics "Reduce Reuse Recycle".  I am into recycling at home and attempt to be at the office, although I find the apathy of Tampa's waste management recycling artisans to be recalcitrant.

The 3R's apply to commercial appraisers.
  • Reduce: I challenge you to go totally paperless, lose the printed drafts for review (consider Word's mark-up) and file folders (use dual monitors to enter data directly into your applications - like DataComp or EDGE).   Persuade your clients to accept your reports in PDFs only.  You would be surprised at how many banks are following this trend.
  • Reuse: This one is easy.  I'm talking about appraisal boiler plate (BP) language.  I think BP is misunderstood by appraisers, as well as their clients.  I'm not talking about stilted, ancient neighborhood descriptions that talk about the settlers that came to town in 1892.  Rather, fresh up-to-date neighborhood, regional and market data.  

    Identify someone in your office and with what frequency they will update your market data for retail, office, industrial or lodging property types. Specifically, total inventory SF, occupancy %, absorption trends and average rent for various local submarkets.
  • Recycle: In a word - comps.  Use DataComp to professionally manage and share your comps in your office.  The cost to confirm, take a picture and properly "write up" a comp is very expensive.  Moreover, you don't want your appraisers talking to the same confirming source for the same comp.  Duplicity is expensive and embarrassing if you call the same person about the same sale.
So remember the 3R's...It's good for the environment and your appraisal practice.

Using "Copy Records"

The Copy Records functionality can make adding numerous comps with similar write-ups more manageable.  Creating a "skeleton" comp and filling in like fields will save time and effort.  For example, let's say we are entering multiple office condo unit sales in the same building.  The following fields will be the same for all of the records: confirming appraiser, verification date, county, city and remarks.
 
1.  First, we will create a "skeleton" comp by creating a new record and entering data only in those fields.

2.  Select Edit and then Copy Record.

3.  Create a new record.  Select Edit and then Paste Record.

4.  There will now be two records with the same basic data in the database.  Specific information for each comp can now be entered without having to retype the same basic data for each record.
