ASSISTANT TO THE EXECUTIVE DIRECTOR


 
IMMEDIATE SUPERVISOR(S):

Executive Director
 
AVAILABILITY:
Immediate
 
CLASSIFICATION:
Exempt, Full-Time (8:00a.m.-5:00p.m.)
 
SALARY:
Salary is commensurate with experience
 
SUMMARY:
The Assistant to the Executive Director provides administrative and secretarial support for the Executive Director. In addition to typing, filing, scheduling, and working on special projects, also answers non-routine correspondence and occasionally assembles confidential and sensitive information. Deals with a diverse group of external and internal personnel as well as contacts at all levels of the fraternity. Independent judgment is required to plan, prioritize, and organize diversified workload.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  1. Provide administrative support to the Executive Director including high-level secretarial support
    1. Schedule and organize complex activities such as meetings, travel, conferences, conference calls and activities for fraternity officers and committees
    2. Perform desktop publishing - creating and developing visual presentations
    3. Maintain President's and Executive Director's calendars
  2. Sort and distribute all correspondence
  3. Respond to calls
  4. Coordinate activities of all fraternity committees
  5. Manage the affairs and activities of the office of the Executive Director
  6. Maintain records and important documents

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED: 

  1. Requires a bachelor's degree
  2. Excellent verbal and written communication skills
  3. Able to work with minimum supervision
  4. Customer service driven
  5. Knowledge of MS Office (Word, PowerPoint, Excel, PowerPoint, Publisher and Outlook)
  6. Knowledge of secretarial and office administrative procedures
  7. Knowledge of use and operation of standard equipment, at a level generally acquired through 1+ years related clerical/office experience
  8. Able to multi-task
  9. Professional appearance
  10. Ability to organize and prioritize numerous tasks and complete them under time constraints
  11. Interpersonal skills necessary in order to communicate in person, by e-mail and telephone to provide information with ordinary courtesy and tact
  12. Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
  13. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands

WORKING CONDITIONS AND PHYSICAL EFFORT:  

  1. Work is normally performed in a typical office work environment
  2. Work is normally performed at an assigned workstation
  3. Required to sit for long periods of time
  4. Occasion travel required for fraternity conferences
  5. Infrequent light physical effort required
  6. No or very limited exposure to physical risk
