TRANSFORMING COMBAT ZONES INTO COMFORT ZONES

Do you know what densification is?  I hadn't heard the term until I read a recent article in Crain's New York which discussed this current trend in the commercial real estate market. This is the practice of allocating less space per employee so that employers can get more bodies into the space.  Aside from the obvious cost saving issues, this approach does lend itself to the open office concept which does foster creativity and collaboration.  As I started to think further about this approach, I thought of its impact on organization and productivity.    

As we all know, stuff will expand to fill the available space. Hence, having less available space is definitely a good thing. Here are some of the benefits that can be derived from having a smaller work space.


1. Procrastinate Less.  Without the extra floor space, windowsills and cabinet space to collect 6 months' worth of trade publications, completed project files and old mail, you will be forced to make more immediate decisions regarding which items to keep and which to discard.


2. Less Paper.  A smaller work space means less places to store paper files which promotes a trend towards storing information electronically. With the right system in place, a simple keyword search could bring up a document when needed.


3. Less Time.  With less places to look for misplaced items, it will take less time to find that missing paperwork.


4. Less Distractions.  A desk that has limited work space can't accommodate the same quantity of personal mementos, pictures and desk accessories all of which in abundance can prove to be very distracting and create a less professional appearance.


5. Less Space.  With less room, there is only space for materials and information that are important and necessary. If you keep in mind that 80% of what is filed is never accessed again, it is easier to set parameters regarding what to keep and what to bring into your work space in the first place.

 

Even if you have a larger work space, many of these suggestions still apply. At the end of the day, it isn't about the amount of space but the habits that are adapted to manage it as well as your information and time.
