Stop messing around with our systems. 
We're used to doing it this way.

Recently a client called me, very excited and enthusiastic: he had just hired an office manager who came with terrific credentials.  "Now maybe she can organize us, and we can initiate some systems around here."

Within a week, the new hire, drawing upon her maturity and diversified experience, presented her suggested systems and procedures in writing.

And he and his staff barely looked at them.

A week after I met "Karen" - and completely approved of her - she called me after hours, totally frustrated and very angry.  I listened and offered my diagnosis of what was going on: she had advised too many changes far too quickly.  And, boy, did this take her by surprise.  She thought I was going to criticize my client and his staff, then canonize her.  Of course I soft-pedaled my comments, but they weren't what she expected to hear.

In the very early years of my business, I came up with a saying, which probably isn't all that original; but I've used it over and over again:

"Change is the single most threatening thing to the human being."


Just because we claim to want change doesn't mean we're going to embrace it.

Sure, "Jack" knew they were disorganized.  Certainly he was thrilled to find some really good, resourceful help.  Yet when he saw the list of suggestions, he panicked.  His staff, of course, picked up immediately upon his hesitation.

This happens consistently in companies of all sizes.  How often have you heard, "But we've always done it this way"?  It doesn't matter that there's costly duplication of work, huge chances for error, frequent breakdowns in communication.  People become comfortable with what they're used to.

How to make progress?  Move slowly.  Introduce changes one at a time, not more than one per week.  Don't be critical.  Compliment, as you suggest modifications.  Be sure to get understanding and buy-in, plus timeframes for adoption of new procedures.

And how should owners and executives respond to this change?  Take a deep breath and recognize that this is what you've dreamed of.  Sure, it will be scary at first; but you just hired a top-notch individual to fix what you've known for awhile is broken.  Don't frustrate her so that she leaves after a week!

Folks, it's all about communication.  It's all about understanding what the other is going through, whether trying to prove oneself or admitting there are better ways to run your business.  Be patient, and everyone will come out way, way ahead.
