Lately I've been thinking about how to get things done in the most efficient manner at work.

Most people will say that "not having enough time" is the reason for their lack of maximum accomplishment and fulfillment each week. Actually, time is not a variable in determining how much gets done. Time is extraneous to people and cannot be controlled. It moves at its established pace and cannot be sped up or slowed down. Time is the stuff that life is made of. We spend our time according to what we think is the most important. Getting the most out of each day is all about prioritizing what you have control over.

Many people do not have a good concept of how to use the time they have effectively. Plan your work for the following week every Friday afternoon. Set aside 30 to 45 minutes and mark off blocks of time for work on specific projects, appointments, meetings, and other tasks.

Ask yourself what you need to be prepared for the next week. Print documents, record phone numbers and addresses, and obtain travel directions. Look for opportunities to group similar type activities in the same time slot. Pretend you are already in next week and observe what you need. Take inventory of your office supplies and restock. Complete unfinished paperwork. You can really enjoy the weekend when you are well-prepared for the next week!

Resistance to planning and prioritizing on Friday afternoon is immense. Many times planning is discarded because it appears to interfere with getting present tasks completed. To overcome resistance to planning, make yourself sit down and write out a plan for the next week using your planning system or calendar. The only way to start a new habit is to pick a time and stick with it. Creating this new habit will cost time in the beginning but provides more time as the habit develops.

There are 4 benefits for doing your planning on Friday afternoon.
  1. Feel secure in knowing you are ready to embrace Monday morning fully prepared.
  2. Gain control of how your work week goes. Use your Weekly Plan as a guide and stick to it.
  3. Increase your confidence and self-esteem because you are prepared.
  4. Communicate effectively with others by knowing where you are going and what you are doing.


Listed below are two helpful hints for learning the best way to do your weekly planning process.
  • Get proven ideas on how to plan. One of the best ways is to interview someone that is very efficient with their time. Tell them that you are learning how to plan your week in advance and want to get their insights on what works best for them. Interview three people, record their responses and many good workable ideas will be yours.

  • A planning system is a must! A big advantage to working from a planning system is that all your information is in one place. Storing information in more than one place creates anxiety and frustration. A pocket PC, blackberry, or paper planner allows instant contact with whatever you need—phone numbers, dates, times, commitments, notes, promises, appointments, and reminders.

Planning a week in advance is one of the most important personal productivity habits you can develop. It has made a big difference in my career. I know I get the maximum work accomplished with the time I have. That is fulfilling and satisfying to me. Block off some time this Friday and plan the next week. At the end of your planning session, write yourself a personalized note encouraging yourself to stick with the process and enjoy the results. Place the note so it is the first thing you see Monday morning. It will feel great to start the week with a plan. This phrase has always meant a lot to me: "In the beginning you make your habits, in the end, your habit make you".
