Q: I have heard that POs in legacy systems (P2P for UCSF, BFS for UC Berkeley) will be "sunsetting". What exactly does that mean?
A: At UCSF, POs that are in the P2P system will continue to be processed in P2P. Starting in late spring 2012, CPC will start working with departments to transition remaining open POs to BearBuy. Use of P2P will be phased out by June 2012. P2P requisitions that were not approved as of November 10th were cancelled and must be re-entered in BearBuy.
At UC Berkeley, the sunsetting policy for POs in BFS will be announced soon. Stay Tuned!

BearBuy is now the smart way to buy at UCSF!
"MUCH better, the purchasing steps are much easier" **

The system is available 24/7 to over 1,600 users with BearBuy roles and 22,000+ shoppers. The first week, $1.8 million was spent via 2,046 purchase orders by 534 individual users in 149 departments buying from 358 vendors. The response to our Live Order Survey has been overwhelmingly positive. 100% of respondents were satisfied with their BearBuy experience. "Some of our department buyers (new Shoppers) have already expressed positive feedback to me about the new application." ** They think the search functionality is better in BearBuy than P2P (70% thought "Much Better") and indicated it was easy to find what they were searching for (80% indicated Very or Extremely easy.) "The search functions between P2P and BearBuy do not even compare; the search engine for BearBuy is superior" ** Senior Vice Chancellor John Plotts sent an email announcement to all UCSF personnel encouraging engagement in this critical initiative. As with any new system, BearBuy will require adaptations in departmental business processes, but we are committed to providing you with the resources you need to integrate as seamlessly as possible.

The release of BearBuy on the UC Berkeley campus is being managed in three stages for each cohort - Vision, Deployment, and Support.
In the Vision stage, the BearBuy team will outline the steps your department needs to take to begin the deployment process. Read AVC Ron Coley's letter to Administration and Finance regarding their unit's BearBuy Deployment here. The Deployment stage will be managed by a BearBuy deployment lead and your unit implementation coordinator. Together they will identify the optimum business process, set up BearBuy for your unit and arrange appropriate training for users. Training for your unit will occur three weeks prior to your cohort's go live date. When your unit reaches the Support stage, the Help Desk and ongoing training in and out of the classroom will be up and running to give your unit further guidance and answer your questions.

UC Berkeley's BearBuy Implementation Deployment begins with a Boot Camp
The BearBuy implementation process kicked off on Nov 8th with a three day boot camp attended by Unit Implementation coordinators, deployment leads, BearBuy team members, sponsors and liaisons.
Attendees discussed the
- Procure-to-Pay cycle
- BearBuy roles
- BearBuy policies and thresholds
- Best practice workflows
They left the Boot Camp ready to recommend a business process to their units.
On November 16th UCSF held a virtual town hall for 200 online users to explain how to get started with BearBuy, training resources, roles, how to get help, and system requirements. A live demonstration and Q&A chat followed. If you missed this webinar, a link to the recording can be found here.
