Open POA Meeting Notes
January 5, 2012
4:00PM
80+ Members Attended
Gordon Corlew, President of the POA presided over the meeting.
Welcome to St. James! Several New Members of the POA stood and introduced themselves.
Introductions: Gordon introduced the Board Members attending and the Community Manager.
New Introductions to St. James: Captain Bill Bender of The Budd Group has semi-retired of operations. The Budd Group has replaced his full time position with Captain Dawn Greenberg. Captain Greenberg spoke to those in attendance of her back ground and qualifications. St. James welcomed her.
Another new face is Cindy Sterling. Cindy will be working part time in the POA office. She will be welcoming our guests in the office and handling the phones and many other office duties. Please introduce yourselves when you meet Dawn and Cindy.
SeaSide and Woodlands Architectural Standards: Bob Duffy, General Manager of St. James Properties, LLC spoke on a course of permitting true Board and Batten to the ACC Guidelines in these specific areas only. The building standards will be available very soon in the POA office.
Dog Park: The Dog Park design and plans near the firehouse on St. James Drive will be further discussed with the Town of St. James Planning Board. More information to follow.
2012 Sidewalk Projects: The POA will be looking at the following new sidewalk areas in St. James.
1.) Players Club Bridge. This will be completed when the Players Bridge is renovated in the fall.
2.) Future considerations: St. James Drive to the further exit from South of Polly Gulley, Members Club Drive to Woodlands area and St. James Drive to Reserve area (maybe). These projects will be done over the next three years.
Communications Chair: The POA is still in search of that one special person to volunteer for this important position. Contact the POA for details.
AT&T Renegotiations: Pleased to announce that AT&T phone services to the Regency Gate House and Beach Club was reduced by 48%.
Project Reports:
- Trailwood Walking paths: Completed
- Beach Club Fall Work: Completed which included the remaining half of the concrete apron, full resurfacing of the interior of the pool, new logo on the decking, staining, woodworking and new AC units for the bathrooms.
- Members Club Bridge: Completed the board work along the bollards and all cleaning, and staining. This improved the look and the safety of the bridge.
- Marsh Point Neighborhood: We had another metal pipe failure. This one was not located on a road. Work has been started. The POA is going to inspect and audit all metal pipes in the community in 2012.
- Woodlands Amphitheater Railing: With a safety issue at hand the POA is going to add 172 linear, 4 feet high of railing around the curved area of the amphitheater pond. This will blend in with its natural beauty of the area. Work is expected to start in a week.
- Road Paving for 2012: Spring will be here very soon and areas that are currently planned are Trailwood Drive and all connector lanes/eyebrows to Trailwood. The Lakeside Common eyebrow and Pinecrest are also being considered. It was noted as well, the data van that analyzes our roads will be here after the paving is completed to see how our 3 year paving plan is working.
- Landscape Contract: Phoenix Landscaping started January 1. In the past Troon took care of the famous 1 mile stretch from the firehouse to the main gate. Phoenix is now taking the care of this area. Phoenix uniforms are orange with safety reflectors.
- It was noted that an article has been written for the February Cat-Tales regarding pine bark (and other) beetles.
- The attendees were reminded that the POA under it governing documents has a full financial audit every year by and outside audit firm. The audit will be in January and we expect the results will be available in March.
Open Discussions:
- Polly Gulley Bridge: The POA is expecting recommendations from the Infrastructure Committee in March regarding the improvement necessary for the future.
- Road Break off: Is a growing issue and the POA is trying to find a good solution to the problem.
- Door to Door Solicitation: Is not permitted in St. James. Please call the Main gate to report. There are guidelines on the use of the newspaper boxes in the Rules and Policies.
- Covering the Beach Club Pool: A question was raised about covering the pool in the winter vs. draining it throughout the short winter months. This has been reviewed and it does not benefit the POA to purchase a cover. Maintaining the pool during the winter is in the pool contract.
- SeaSide area entrance to the bridge corridor lighting: The POA cannot add any lights to this area. There is a 300 foot buffer by the DOT. The developer is working on some additional signs to alert drivers as to where the entrance is located.
- Vehicle Data: The POA is now receiving data from the Radar speed monitoring systems that can better characterize the areas that have speeding. This will allow more effective prevention of speeding. More to come on this topic.
Next Open Information Meeting: February 2, 2012, 4:00PM in the Community Center.
