RIM Shots

"Records and Information Management (RIM) is defined as the systematic control of records throughout their lifecycle. Jayhawk File Express can help you manage your information -- paper or electronic."

For most companies, the majority of files stored in their office are accessed on an infrequent basis. Moving inactive files to an off-site storage location can free up valuable office space (removing four filing cabinets makes room for another desk). And, with fewer files in your office, it's easier - and faster - to find what you're looking for in active files.

Jayhawk File Express barcodes every box, and if you choose, the file folders in each box. Using our RSWeb service puts your complete inventory information at your finger tips. You can enter data, order deliveries, create reports and manage your inventory, all right from your desktop. To learn more about the benefits of off-site storage, call us today.

Meet the Staff

Dragster Lee Lockhart
Lee
Lee Lockhart attended his first drag race when he was just two months old, so it literally has been a life long passion. "My mom, dad and brother also race," said the 2010 Heartland Park Track Street Class Division Champion. The award ceremony, where he also received a huge trophy and the Champions Jacket, was in early November.

"I am a weekend warrior on the track," he joked, "and probably the wildest guy at Jayhawk File Express!"

His Street Class driving is in a 1968 Camaro. His other vehicles include a 1968 Custom Cadillac DeVille and a 1970 Chevy short back truck. "I bought the Caddy in Las Vegas, and drove it to Topeka when I moved back here. I've taken it apart and am putting it back together; it's been a five year project," he said.

When not on the track, at least on summer weekends, Lee enjoys spending time on Perry Lake in his motor boat.

With such an active life, does Lee ever take time to slow down?  "I have a cat," he shared. The cat's name?  Dragster!

Record Retention

What to Keep - How to Keep It

A record is something that you need to keep around for a prescribed period of time, either for regulatory, legal or business reasons.

Records encompass both structured information, like financial transactions, and unstructured information, like drafts of spreadsheets that eventually feed into a document. The storage requirements of your industry may or may not necessarily be the same as legal requirements for retaining business documentation.

For instance, while backup media may be in a continual state of being written and overwritten, records that must legally be retained often need to be stored on immutable, non-rewritable storage, and should be either very well-organized, or very easily searched-or both.

Destruction of Public Records

Wright brosA Government Accountability Office (GAO) audit completed in October shows that nearly 80% of government agencies are at risk of illegally destroying public records and that there are hefty volumes of records needing preservation and care before they are permanently lost or damaged.

Prompted by the loss of the Wright brothers' original patent, as well as maps for atomic bomb missions in Japan, the GAO report finds some of the nation's prized historical documents are in danger of being lost forever, including Civil War telegrams from Abraham Lincoln, Eli Whitney's cotton gin patent, and some NASA photographs on the moon. The report was obtained this month by the Associated Press and found many U.S. agencies do not follow proper procedures for disposing and storing public records.

Jayhawk File Express can help ensure that your files and information are confidentially stored and properly disposed of. Click here to contact Tracy Green for details.

Planning for ARMA in Topeka

ARMA Logo
The process has begun! Working with  Midwest/Rocky Mountain Region Coordinator John Downs, a Topeka ARMA chapter is being organized. Bylaws are being written and chapter dues were set at $10 (in addition to membership in ARMA International). The Chapter's goal is to be chartered by July 1, 2011 and begin having ARMA meetings that fall.

If you are interested in joining the Kansas Capital Chapter of ARMA and want more information, click here to contact Membership Chair Diana Gillespie.

Stats and Data

Are We Losing the Battle?

ID TheftMany consumers feel they have nothing to lose. This notion came from a blend of federal law (the FACT Act or FACTA) and marketing savvy by financial institutions, to shift identity-theft losses from consumers and victims to the financial industry. The financial industry has often been absorbing identity theft and fraud losses as the cost of doing business and keeping customers happy, but an unfortunate side affect; consumers believe that zero liability means zero responsibility or loss.

Another issue affecting identity theft is that law enforcement often lacks resources to handle ID theft cases. The number-one complaint heard from victims is the indifference from law enforcement to identity theft and its victims.  Most police departments admit that at best they investigate less than 1% of identity theft cases. They lack the resources to investigate identity theft, and many don't understand that they need to be more sympathetic to victims who arrive on their doorstep desperately looking for help.

Latest "Breakfast Briefing" a Success

People throughout the community joined us Tuesday morning to hear disaster-recovery expert Chuck Banks speak at the latest Jayhawk File Express "Breakfast Briefing." Stressing that disaster recovery must involve an alliance of both public and private institutions, Chuck outlined the key elements of preparation and implementation of disaster recovery plans as well as the critical nature of long-term recovery.

We'll be working with Chuck in the future to put together a business continuity and disaster recovery white paper and making it available to our customers and friends. Watch future newsletters for details. Also, make plans now to attend our next "Breakfast Briefing" February 22, 2011, to hear Kevin Joerling, Certified Records Manager, speak on document retention.

We appreciate your business and strive to be a valued resource for issues that affect you and your business.

Sincerely,
Pete sig
