Business Tip
New Mail Habits Protect You

MailboxChanging the way you conduct your personal business--especially the way you receive and dispose of mail--can truly make a difference when it comes to protecting your identity and personal assets.
Retrieve mail as soon after delivery as possible, or have a friend do it.

Deposit outgoing mail in Post Office™ mailboxes or at a local Post Office. Do not leave it in unsecured mail receptacles.

When expecting something of value, call the sender if it is not received when expected. If it appears to have been stolen, call Postal Inspectors.

If someone may be using your name to receive mail at another address, call Postal Inspectors, who can shut off mail to that address.

Review account statements carefully for unauthorized withdrawals.

Inquire at financial institutions as to their policy on changes of address submitted by phone or mail. Make sure they will call customers before making a change, or honoring any large withdrawal, not received in person.
Best Practices
What is the preferred method of ordering files or boxes

Customers often ask what is the best way to order documents for retrieval from hard-copy record storage. Jayhawk File Express offers multiple ways to order files, allowing our customers to choose the method that best fits their needs.

Different methods have different advantages but our goal is always to provide the best means to:
  • Improve Accuracy
  • Protect Privacy
  • Provide an Audit Trail
The #1 best way to request files and boxes is by using RSWeb. By using this dedicated records management software you can order exactly what you need for retrieval with a click of a mouse. If you are not a current user and would like to know more about RSWeb, click here to visit our website or give your Jayhawk File Express representative a call or email.

The #2 best way to request files and boxes is to email your order to customerservice@jayhawkfile.com

The #3 best way to request files and boxes is to fax your order to 785-232-9130 which will go directly to our dispatcher.

These three methods cover all three bases for accuracy, privacy, and auditing; and removes the need for interpretation by a Jayhawk File Express employee.

As you can see, placing a telephone call is not in the top three recommended ways to place an order. While we will continue to take phone orders, they are the most vulnerable to possible errors, there is a risk the order might be overheard by someone in your organization not authorized to know certain information, and there is no written record from you for the order.

Supreme Court Decision

Court Ruled

Supreme CrtOn June 17, 2010, the U.S. Supreme Court unanimously held that a public employer's search of an employee's text messages was reasonable and did not violate the employee's constitutional rights.

The decision overturned a ruling by the U.S. Court of Appeals for the 9th Circuit, which found the employer's search was unreasonable in scope and, therefore, violated the Fourth Amendment of the Constitution which prohibits unreasonable searches and seizures. The decision marked the first time the Supreme Court has considered the privacy protections applied to text messages and helps to define the boundaries of privacy protections in electronic communications."
Thanks a "TON"

Jayhawk File Express's first Free Shred Day was busy; 5 TONS of paper were brought in! We shred, baled and shipped it to a paper mill for pulping and recycling. One donor shared that the papers she brought were from her mother's estate, and that she felt secure knowing the information would be securely destroyed. Our next Free Shred Day is October 22, 2010.

Sincerely,

Pete sig
