ARMA Topeka Chapter...

ARMA LogoOur friends at ARMA International recently posted:

"Records management reduces risk. Implementing a records management program will reduce storage costs and enable your employees to work more efficiently. However, an investment in records management is an investment in the long-term viability of your business. A disciplined, enterprise-wide records management program helps organizations mitigate against the risk of unmanaged content."

We couldn't have said it better!

If you are interested in helping Jayhawk File Express start an ARMA Topeka Chapter, contact Diana Gillespie soon. We are hoping to get this new chapter started this summer.

Meet the Staff

Kristin GreeneKristin Greene

A graduate of Topeka High, Kristin Greene has lived in Topeka her entire life. She began working at Jayhawk File Express in June 2004.

A member of the JFE Service Bureau Team, Kristin manages the flow of boxes that arrive in our holding areas. She also coordinates entry of information into our records management software. "I like that we can customize data entry to provide the customer what they need to find their records," she said.

A recent trip to Paris not only made the entire staff green with envy, it whetted her appetite for future travels. "We had an amazing time in France," she said. "I hope to travel to Spain, Italy and Greece in the future."

Kristin's baking ability is well known at JFE. "I especially enjoy cake decorating, and once a project is done, I enjoy sharing at work," she shared.

While her job is usually performed at our office, Kristin has also completed several projects at a customer's site. "We can inventory the information and have it in our software before the boxes even arrive at the warehouse." She's also kept busy prepping documents for scanning, quality control and indexing of images.

In her spare time, she enjoys "anything outdoors when the weather is nice." She takes long walks with her chocolate Lab Nestley, and plays Ultimate Frisbee.

HIPAA De-Identifies

RecovReinvest

The American Recovery and Reinvestment Act of 2009 (ARRA) requires the Department of Health and Human Services (HHS) to issue guidance on methods for de-identification of protected health information (PHI) as designated in the Health Insurance Portability and Accountability Act's Privacy Rule.

In response to this mandate, HHS' Office of Civil Rights (OCR) is soliciting stakeholder input from experts with practical technical and policy experience to inform the creation of guidance materials. OCR is collecting views regarding de-identification approaches, best practices for implementation and management of the current de-identification standard, and potential changes to address policy concerns.

Paper Records Protection, PART 4

Develop a Retention Schedule

Creating a retention schedule that is in line with record management's best practices as well as all applicable regulations and legislation is a surefire way to prevent wrongful or untimely destruction of your vital records.

Busting at the Seams

Traditional wisdom states that the best way to reduce waste is to throw out less material. This makes perfect sense as long as the retained material is put to constructive use. When we apply this equation to records management, a paradox emerges.

Without application of sound records management principles, a company can end up storing literally tons of records that have limited legal or operational value.

Regardless of their relative value (or lack thereof), these records take up valuable space, to say nothing of the natural resources that go into running an office building or storage facility from one month to the next.

materials back into productive circulation as raw material, while at the same time freeing up space and maintenance resources that are better used meeting other corporate objectives. Beyond its clear environmental benefits, reducing wasted space can also mean huge savings in real estate costs.

To help your company meet this cost saving goal and help protect the environment at the same time, contact Tracy Green for assistance creating a records retention plan.

Legislative Update

House Passes Cyber Security Bill

CyberspaceOn February 3, the U.S. House of Representatives passed the Cyber Security Enhancement Act (H.R. 4061) by a 422 to 5 vote.

Rep. Michael Arcuri (D-N.Y.) led debate on the House floor on the measure. Arcuri spoke about the major contributions being made to advances in cyber security at places like Rome Lab and other local businesses as the bill provides a plan for cyber security research and development and places an emphasis on training men and women to become cyber security professionals.

"Investing in cybersecurity is the Manhattan Project of our generation," Arcuri said. Cyber threats and attacks are real, and they threaten our financial and defense networks every day. Nearly every aspect of our daily lives in the global society is dependent on the security of our cyber networks. We rely on these systems to carry virtually all our business transactions, control our electric grid, emergency communications systems, and traffic lights." Read more...

Jayhawk File Express is contantly working to improve our operations, and come up with innovative ways to address the needs of our customers. We recently attended the annual PRISM conference in Reno where we networked with our industry peers. What better way is there to improve than to learn best practices from the leading experts in the industry?

Thank you for helping to make us a successful and innovative information management company, focused on delivering the right stuff to the right people at the right time every time.
