FAMILY NIGHT VOLUNTEERS NEEDED

The annual Ma'ema'e Elementary School Family Night is a family-oriented community event that strives to increase fellowship amongst our Ma'ema'e Elementary School families, staff and community partners.

Date: Friday, May 6, 2011
Time: 2:30 - 8:00 PM

We're looking to recruit parents who would be willing to serve on the committee for at least 2 years to ensure continuity in the following areas:

·      Event Co-Chair #1 & #2 (2 people)

  • Specific to Co-Chair #1:  Able to oversee the Food & Beverage and Shopping subcommittees
  • Specific to Co-Chair #2:  Able to oversee the Activities and Publicity subcommittees and help with overseeing Logistics subcommittees
  • Meet with Event Chair once a month at Ma`ema`e Elementary School (able to bring children to meetings) - dates and times to be decided together
  • Able to recruit volunteers onto subcommittees when the need arises
  • Will assume Family Night Event Chair role in SY2011 - 2012 or SY2012 - 2013.  The current Event Chair will be able to MENTOR and/or help until SY2013 - 2014, so she will not desert you.

·      Construction Shadow Chair

  • Determine construction needs from other committees.  See what needs to be tweaked from last year's efforts.
  • Set-up prior to and/or day of event.
  • Assist with clean-up efforts on Saturday day-after event.
  • Take care of your on-site volunteers
  • Recruit fellow parents at Ma`ema`e Elementary School to help out

·      Country Store Co-Chairs (2 people)

  • The Country Store consists of fruits, vegetables, packaged goods, unopened CDs and DVDs, potted plants, and so forth.  It's very similar to a Farmer's Market.
  • Order supplies and ingredients for area
  • Send contact list of potential donors to our Silent Auction Chair by November 30, 2010, so she can send out the solicitation letters on our Family Night's behalf
  • Follow-up on solicitation letters of your potential donors by phone and/or email starting January or February
  • Arrange for pick-up or delivery of items to the school
  • Work with Cafeteria Manager to temporarily store refrigerated items until reefer arrives on Family Night
  • Recruit fellow parents at Ma`ema`e Elementary School to help pick-up items
  • NOTE:  Access to truck or van will be very helpful.  Your busiest time will be 1 week prior to Family Night because of the pick-ups from different locations.

·      Inflatables Chair

  • Be our liaison with the designated inflatable (i.e. bouncy houses) company
  • Take care of your on-site volunteers
  • Recruit fellow parents at Ma`ema`e Elementary School to help out

·      Malasadas Co-Chairs (2 people)

  • Coordinate cooking and selling efforts
  • Order supplies and ingredients for area
  • Take care of your on-site volunteers
  • Recruit fellow parents at Ma`ema`e Elementary School to help out

·      Parking Co-Chairs (2 people)

  • Manage 4 parking lots on event night:  Wyllie Street main school parking lot, Big Field parking lot, Community Church, and Chinese Church (both across of Nuuanu Avenue) parking lots.
  • Order supplies for area

·      Security / HPD Liaison Co-Chair

  • Manage campus security efforts from 1:30 - 8:00 PM.

·      Signage Chair

  • Take inventory of signage available
  • Find out signage needs of other Committee Areas
  • Create signage and laminate, if necessary
  • Take care of your on-site volunteers
  • Recruit fellow parents at Ma`ema`e Elementary School to help out

·      Spam Musubi, Nachos, Pizza, & Drinks Co-Chair

  • Coordinate spam musubi prep and making efforts
  • Coordinate cooking and selling efforts
  • Order supplies and ingredients for area
  • Take care of your on-site volunteers
  • Recruit fellow parents at Ma`ema`e Elementary School to help out

·      Supplies Co-Chairs (2 people)

  • Organize supply needs of subcommittees (i.e., cooking ingredients, paper goods, office supplies, foil pans, spam)
  • Obtain items
  • Manage supply distribution prior to and on Family Night
  • Manage cold storage "reefer" volunteers on Family Night who distribute chilled ingredients and beverages to the different food booths
  • SPECIAL NOTE:  We attempt to get most items donated by Ma`ema`e families, so you will need to keep updating our needs list on the school's cafeteria bulletin board and Family Night Web site from February through event night.  We have folks who can physically do that, so we would just need an emailed list from you.  If things cannot be donated, you can order items directly from vendors for delivery to the school.  Other items, however, require running around to different stores during the 3 weeks prior to Family Night (mid-April to first week of May).

If you're interested in one of the above positions or would like to help out in some capacity, please contact:
