Between the holidays and the nonstop party that is year-end, we're sure you're busier than ever. We've been pretty industrious too; we've updated both versions, Standard and SQL, for year-end processing, management of SUTA/FUTA rate changes, employer portion of healthcare tracking, and the entry of the new PA PSD codes for local withholding, plus other enhancements. Think of it as an early present!
If you haven't already be certain to go to the Customers Only site prior to the first payroll of 2012!
Between holiday meals, please feel free to drop into the COATS Users Group on LinkedIn to get advice from your fellow staffing leaders, and check out the COATS blog for staffing stories and legal roundups. And don't forget to like us on Facebook! (That iPod Shuffle is still waiting to be WON!)
We'd like to be certain to wish you the happiest of holidays and we look forward to working with you in 2012!
Thanks for being our client,

Changes are HERE for Standard and SQL--This Is a MUST-Read To Be Ready for 2012!
Healthcare Reform Requirements:
To accommodate for the requirement of the 2012 W2 reflecting the Employer-Sponsored Health coverage, you must create a Non-Cash Benefit adjustment for each employee that you contribute to their healthcare premium before the first payroll dated 1/2011. It is required to report the combined amount of the employer and employee contributions in Box 12, coded DD on the 2012 W2. This amount being reported is not taxable.
NOTE: It is NOT REQUIRED to report this information on the 2011 W2 reporting.
This enhancwment is included in STANDARD 9.0.3 and SQL 4.3.1 and can be found on the Customers Only Site.
PA Act 32 requirements:
Effective January 1, 2012, all employers in PA must assign PSD codes (Political Sub-Division Code) to identify the municipalities and school districts for each tax collection district (http://www.newpa.com/node/6711#act32eitrates).
This is handled within COATS by updating the locality codes in COATS. Each of our clients have set up their local codes based on their own individual needs.
With this new change, you must set up your local table based on the township/locality sub-categories updating the Local Name field to be the 6 digit PSD code vs. the locality name.
For some of you, there could be more than 100 PA local codes. You must update your local tax table by adding new codes.
These new codes should handle a client's needs for all possible townships and their subcategories. We recommend that you create a spreadsheet for your staff so they know what PA local codes in COATS tie out to the required PA PSD codes for local w/h.
After updating the local table, all employees tax screens must be updated to reflect their NEW local code. You will need to update your local table and employees tax screens PRIOR to doing your 1st payroll dated 1/2012.
This enhancement is included in STANDARD 9.0.3 and SQL 4.3.1 and can be found on the Customers Only Site.

Employment Law: Put Up Your Posters Now
Want to get a jump on the new year? Now's a great time to make sure you're posting the correct employment posters. You've got until January 31 to have all of them up, but those first 31 days of the year can go by pretty quickly, especially with year-end payroll statements.
The posters aren't very pretty and take up a lot of space. However, they're part of doing business, and having up-to-date posters is the mark of an employer with awareness and integrity. That's you, right?

Is Your FUTA Credit Changing? COATS Is Ready
COATSsql is prepared for the lowered FUTA credit changes. In the past, the state's allowable FUTA credit was hard-coded into COATS Staffing Software. In the new version released December 20, 2011, COATS allows the end user to edit their own states' rates regarding their allowable FUTA credit. The quarterly reports will reflect the changes to the states' rates accordingly.

Sending Hope Instead of a Holiday Card
We might not be feeding the world like the folks in Band-Aid sang about, but we're trying to feed our little corner of it. If you're wondering why you haven't received a holiday card from COATS Staffing Software, it's because we've opted instead to donate to the Foodbank of Southeastern Virginia.
