As we continue through the "organizing month" of July, this week we will touch briefly on keeping your valuable software organized. Additionally, we'll look at how to keep all of those different passwords you have safe, but available at the touch of a few keystrokes. I'll introduce you to one of my favorite software tools to do this!

 Organizing Your Software and All Those Passwords

How much have you invested in obtaining the software that you need to run your household or business? The amount can be shocking - and with continual upgrades, it is a fact of life and an ongoing part of your budget.
 
I'll bet you have had to replace a computer several times in your life due to a crash or it was time to update your technology. It may have been frustrating when reinstalling your software if you didn't have the serial number readily available.
 
Have you ever had to look for a serial number on a software product and panicked? You may have had to spend all day on the phone with a tech support person, only to then have to give them credit card to upgrade to a newer version because you couldn't find the current serial number. Or, you may be very organized and kept track of software serial numbers in a computer file. If your system crashes, that file may not be available.
 
The solution? Yes, creating a software log in your computer is a good step, but then print it out and add this information to a binder, maybe to the same folder that holds your corporate operations manual -- somewhere other than your computer.
 
Password documentation
 
How are you maintaining all of your user names and passwords? If you're like many people and using the same one over and over again, I get it, however, once someone figures out one of your passwords, chances are they can go phishing and be able to breach many of your accounts.
 
RoboformI recommend that you use a tool, something like Roboform. This is a top-rated password manager that completely automates password entering. Plus, as an added benefit, it remembers your personal data so you can fill out forms quickly.
 
How safe is it? You may think that if someone has access to your computer that they can retrieve all of your passwords. There are a few steps to prevent this: 1) Set up a logon password for your PC or laptop. This way only you (or those that you have given the password to) can access your computer and 2) Roboform has a "blanket" password tool, meaning that you can create one password to log in to all of your accounts so you only have to remember one password, but all of your accounts have their individual passwords.
 
Periodically you can print out your list of passwords within Roboform so you have a hardcopy of usernames and passwords to file - guess where - in the same binder with your software serial numbers!
 
Take a look at this tool and try the free version that allows you to set up 30 user names and passwords. I use this tool and have been happy.
