Hello Everyone, 

I can't believe it's December.  What a year it's been!  I thought I would stop watching the news after the election, but things just seem to keep changing.  You need to be proactive now more than ever.   
 
For the end of the year, I recommend you clean house and take time and do a year end file clean out.  Following are few tips on how to organize a file clean out for your computer files, your physical files, and backing up for your office - at work or at home. 
 
My words of encouragement to you are that I believe you can change the world around you by changing yourself.

 Clean Out Your Computer
 
Clear out your cache (the temporary files) of documents that are no longer needed or are now saved on your hard drive.  Empty the electronic files that are never used or that are outdated.
 
Be careful not to remove any files that are essential to the running of your computer or programs.  For example, if it has an extension.exe or .dll - don't even think about deleting it without consuting your IT support person.
 Purge Your Physical Files
 
If you're using The Paper Tiger, you've been trained on this to run a report called the File Clean Out Report. For everyone else, review what files you haven't used or are outdated and throw them out. If you feel that you still need them, scan them and back them onto a jump drive, or send them off to off-site storage.  Keep in mind when saving these files, what are they costing you in "real estate" to hang onto.  Storage is real estate, jump drives are physical space... you get the point.

 Back Up and Avoid Catastrophe
 
If you work for a large company, you probably have this one covered. However, you still need to know the policies of how you are covered in case of emergency. Is your personal harddrive backed up regularly -- daily? weekly? or monthly?

If you don't have an IT department taking care of your back ups, take care of it yourself. Don't get caught needing to reconstruct information in a crisis. There are simple solutions like a USB jump drive to save selective critical files. Or one of my favortes for online back ups is Mozy. As Barbara Hemphill has taught me, as you are going through your files, keep asking yourself, what's the worst possible thing that would happen if you were to toss it? If you can live with the consequences, then toss it. Enjoy your file clean out day!
