Tip 4 - Vocabulary  (CampTrak has it's own language just like any specialty)

What is the difference between an IR and a MOR?

 

IR (Individual Record) The record for groups and individuals to which all contact, donor, transaction, registration, and group event and group rental information is attached.

 

MOR (Master Organization Record) The way that the IRs are organized.

 

These are the basic data for CampTrak. One way that is helpful for many people is to think of CampTrak as a great big file cabinet:

 

If you were to set up a paper data base, you would order two versions (one for groups and one for individuals) of a standard form (IR) that you can keep your data on in your file cabinet. This form is  very BIG with several sections:

Version 1 (Individual Type) This is best used for individual people:

·          It has a place for contact information including a place for an alternate address in case they are a student or a snowbird (Top of the IR, the Record Info Tab, the Custom Flags and Fields tab, and the Other Information tab)

·          a place to attach current transactions (Transaction tab)

·          a place to attach current registration information (check the Camper box and then the Registration tab will appear)

·          a place to attach donor information (check the donor box and then the donor tab will appear)

·          a place to attach information if this person is the primary contact for a group event or group rental (check the Event Coordinator box and the Group Events and Group Rental tabs will appear) 

·          it even has a place to attach historical transactions, registrations, and group coordinating (go up to Functions>History - these can also be accessed by going to the Custom Report Manager aka CRM)

Version 2 (Group Type) This is best used for churches, schools, businesses, and other organizations:

·          This is much the same as Version one except that you don't have to check the Event Coordinator box to attach the Group Events and Group Rental tabs to appear

 

The next step is to start a filing system. You want to organize these pieces of paper into different drawers in your file cabinet (MOR Types). You would want a drawer for all the households, one for the members of congregations, one for extended families, one for people who quilt, etc. (This is a magic filing cabinet and can have an infinite number of drawers.)

 

Next you will take your piece of paper (IR) - which by the way is also magic and  can be put into an infinite number of folders - and you are going to put it into a folder (MOR), name it and then file it in the appropriate drawer (MOR Type).  If the folder (MOR) already exists you are going to put the piece of paper (IR) into the (MOR) that already is there.

 

You can further define your data by ensuring that each folder (MOR) in a particular drawer (MOR Type) will have specific types of pieces of paper (IR) in it. (These are called MOR Member Types.) For instance in the Household drawer (Household MOR Type) each folder (MOR) will contain the Head of Household's IR, the Spouse's IR, the children's IR, etc.  Another example is the Congregation drawer. It's folders will each contain the Church's IR, member's IRs, special groups and/or organization's IRs, etc.
