growthSystems Design is happy to welcome eight new EMS organizations during the first quarter of 2010.  We are committed to collecting the funds that are vital for the health and safety of those living in your communities.  As business has grown through 2009 and 2010, our staff has grown as well.  We now have 39 employees, up from 24 at the start of 2009.  All of us appreciate and value your trust in Systems Design and are daily working to be the best in the EMS billing industry.  Our current growth is right on track with our short and long term plans.

  • Our Data Exchange interface can receive PCR data electronically from most popular EMS software systems.  To date, we have successfully received data from ImageTrend, ERS, Zoll and ESO, but can also connect to any other NEMSIS Gold Compliant software.  
     
  • We have been receiving many Electronic PCR's from the field and are noticing a marked improvement in the information sent.  The advantages of electronic data entry and/or submission seem to be having a positive impact on the Quality Control process.

Credit Card Acceptance Update
Our research and development of an acceptable Credit Card Processing Program for patients to make payments online is near completion and will be offered as an option to our clients soon. This feature will be administered by Systems Design. We will post information about this program on our website and communicate the details in a newsletter within the next couple of weeks.

As part of our continuing commitment to being current on evolving legal and compliance issues, both our Compliance Officer and CEO are attending the Page Wolfberg & Wirth's 'Ambulance Billing, Coding & Compliance Clinic' this week.  You can expect updates on key issues affecting you and our industry in future newsletters.

Systems Design is excited to announce the recent acquisition of a new 12,000 square foot office building in Poulsbo, Washington and plans to relocate from our current 4,000 square foot building in Silverdale.  The new building is located in the Powder Hill complex overlooking the beautiful town of Poulsbo and Liberty Bay.  The move to a larger building will accommodate the growth of the company and facilitate the increase in the number of employees with improved infrastructure.  The new facilities offer increased office space, state-of-the-art security and fire suppression, increased digital capabilities and fiber optic communication systems.  This building   will accommodate the long term strategic growth plans of the company and enable us to continue to improve our services to our clients.  Our move will take place over the summer of 2010 and will not cause any disruption to our services. Our P.O. Box 3510 mailing address and 800 numbers will not change.

Strategic Alliance Announced
Systems Design and ESO Solutions have developed a relationship that will benefit clients of both organizations. Together, Systems Design and ESO Solutions can offer a very powerful total software and billing services package to EMS organizations that has never been available before: the premier ePCR software product and seamless integration with the Northwest's leader in EMS billing services. Our programmers have jointly developed a software interface system to transfer ESO ePCRs from the field to Systems Design's billing software.  This relationship will enable the continued bilateral support of the technology connection.  We are developing software and service package offerings including hardware, which will enable organizations with various budgets to be able to afford the best software, services and equipment packages available.

We are developing a Cost Recovery Program for Fire-Based Emergency Response Services.

Our cost recovery program will not require any membership or material purchases.  Our services will enable incident data collection to occur directly from the Fire Department's Fire/RMS software to Systems Design for incident billing.  This will be a cost effective program based upon a percentage of revenue recovered or per incident billed.

Sharing Information on Federal Standards

One of the basic requirements for all claims is a patient signature.  The purpose of the signature is to authorize the ambulance supplier to submit a claim to insurance.  Without a signature, the billing office can only bill the patient.

Getting a signature from the patient is always best, however if the patient is physically or mentally unable to sign, the following "representatives" can sign on the patient's behalf:  relative, legal guardian or caregiver from another agency, like home health, hospice or nursing home.  Documentation must include how the signer is related and the reason the patient cannot sign.

If no "representative" is available or willing to sign, a crewmember present during the transport may sign a statement explaining why the patient and representatives were not able to sign and include the date and time of transport, name of receiving facility and a hospital face sheet.
 
Systems Design will request a signature from any patients without signatures.  If you would like signature forms designed to easily collect the above information, please contact our administrative office.
