New CRI/HDAP Email Encryption Service To Be Implemented September 14

Dear Massachusetts Provider,

As you are all well aware, email has become the preferred method for corporate communication. However, email is not a private conversation - it's easy for others to intercept and read.

Community Research Initiative (CRI) and the HIV Drug Assistance Program (HDAP) are committed to maintaining the safety and integrity of our clients' most private and confidential information.  In order to maintain the confidentiality of private information sent via email, while ensuring compliance with privacy and regulations such as HIPAA and the Massachusetts Privacy Law: 201 CMR 17.00, CRI/HDAP is implementing a new email encryption service through Zix Corporation (ZixCorp). This service will help us protect outbound email containing sensitive information, such as social security numbers and medical information.

Beginning on September 14, 2012, all emails containing sensitive information between CRI/HDAP and you will be encrypted.  You will receive a notification message with an HTML attachment, which contains the encrypted message. After double-clicking the attachment, first time users will be asked to register and sign in to view the message and any attachments over a Secure Sockets Layer (SSL) connection.

Because we have implemented the "remember me" feature, subsequent visits will only require you to open the secure attachment. It is important to note that if you are currently a ZixCorp gateway customer, then all encrypted email messages between our organization and you will be sent securely and delivered unencrypted in your inbox, just like any other email you receive.

In addition to the brief overview we have provided to you above, ZixCorp has provided us with a ZixAware website containing supplementary information on receiving encrypted emails, as well as frequently asked questions at http://www.uapguide.com/community-research-initiative-of-new-englandhdap/customer/introduction.

At CRI/HDAP, we are committed to protecting personal information, and are pleased to provide you this easy-to-use solution. For more information, please contact [email protected].

Sincerely,

HDAP/CHII Staff
