This month we decided to grab your attention early by emphasising the importance of your system security options.

A detailed, multi-level security system is essential to
all agencies wanting to control access to sensitive and detailed data on their
projects, clients, rates etc.
Setting up and maintaining workamajig's security system is
made easy with our range of options.
Watching the dollars:
By keeping the status of your employees list up to date,
especially for casuals, your monthly payments, calculated on 'active' staff only,
are kept to a minimum. This is simply a matter of making any employee 'inactive'
as soon as they are no longer putting in time sheets - even temporarily.
Blocking the guesswork:
When workamajig is first installed users are often all given
the same password to make implementation and training easier, but after an
agreed period of time the passwords should really be re-selected to enable the security
system to work effectively.
The system administrator can then specify how many attempts
can be made to enter the correct password before the user is locked out of the
system. Then the administrator has to 'unlock' the person before they can log
in again.
Compulsory password changes can also be set up at designated
periods.
Refining the Security groups:
Our security groups control exactly what people can do
within the system. Each user is assigned to a security group with all access
options specified. As there is no limit to the number of groups that can be set
up within your system, it is worth spending some time to allocate the access rights
effectively. For instance;
- Would it be a benefit to some to be able to view or manage the calendars of others?
- Should designated users only be able to open projects or set up new clients, with others automatically notified as soon as this happens?
Where a system administrator is given all rights by the
system, other users will see in the drop down menus and side navigational menus only the
options they can access.
The dataset selection will allow the chosen security group,
with the rights to create Custom Reports and use specific Datasets, to report on
information from the system.
The security can allow 'view only' or 'view and edit'.
Involving your Clients and Vendors:
There are definite advantages to giving your clients and/or vendors a log-in to workamajig for a number of reasons:
- The access is restricted to submitting project requests, viewing very limited info on the project, approving artwork or estimates, viewing and approving outstanding invoices and communicate via the Diary Notes.
- The transfer and approval process is faster and more efficient.
- The client feels better informed and involved.

- Is your system totally integrated?
- Can you compare actual time and costs with those estimated?
- Are you confident all time and costs are being captured for billing?
- Can you check how booked-up your creative staff are and exactly what tasks have been allocated to them?
