Getting the set-up right: If templates are created and labelled for easy selection for
your new projects, estimates, and invoices, the whole process can be managed with
less grief than having to compile the whole process from scratch. Estimating in workamajig can be done by task only, service only, or by task and service. Any
alterations to fit a unique project can be made quickly, and any number of
project types, template styles, rate sheets, estimate lay-outs etc. can be
included. Previous estimates can also be copied, and multiple estimates can be
attached to a project for reference, with the one selected for approval then
becoming the working budget for the project.
A client's revisions after approval can also be managed,
with the additional or reduced costs being tracked separately as 'change orders'
to quantify the change.
Speeding up approvals: If clients and vendors/suppliers are given their own access to workamajig (strictly limited by their security group) notifications and approvals
of quotes, purchase orders, and estimates, artwork, copy, and invoices etc can
be instant, with due dates and alerts factored into the scheduling so deadlines
are not missed. The approval of purchase orders can be controlled by nominated employee
and dollar levels.
Email notifications and outstanding approvals keep all
relevant people informed of the progress.
Meeting clients' individual needs:
Having flexibility to apply nominated estimate styles to any client means the clients see the level of detail they prefer (or that you are happy to show them) in the layout they can follow, with any rates that may be unique to them.
Monitoring the budget:
From the time an estimate is approved and the project status
indicates it is in production, the budget screen tracks all actual labour and expenses as they
accumulate on the project, for a quick comparison of the actuals to date with the
estimate.
