
QuickBooks Tip
Ctrl + YFor when T accounts just don't cut it. Hit Ctrl + Y when you are in any transaction (ie: invoice, bill, check, etc) and QuickBooks will show you the "behind the scenes" journal entry with debits and credits. This feature is very helpful when trying to figure out what the effect of the transaction is against the GL. |

Why Should Small Business Care About Internal Controls? (part 2)
Since most small business owners' background and primary focus are in their business and not in accounting, consultants play a key advisory role in helping a business design and implement sound internal controls.
Here is more on internal controls, part 2 of last month's article...
Accounting system procedures and controls: An important step in setting up internal controls is creating accounting procedures and implementing controls. One example is determining who has access to QuickBooks and which areas and functions they will be accessing. As a rule of thumb we emphasize that no one should use the QuickBooks ADMIN user as their everyday login; you can assign full-access permissions to certain users if needed (especially if additional checks and balances exist), but they should have their own username, to validate the use of the QuickBooks Audit Trail.
Financial statement accuracy: Every small business owner should consider having an independent outside party such as their QuickBooks consultant review their books on a periodic basis. And the owner should also have a good understanding of the financials, which is why we cover that as part of any QuickBooks implementation or training.
In conclusion, internal controls are necessary to reduce the risk of fraud. Without controls or oversight, it is like leaving the door unlocked with the cash register drawer open hoping that no one will steal anything.
This was the topic of the most well-attended breakout session at the recent FABexpo in Tampa, that I had the honor to facilitate. Included in the presentation were examples of how to implement good internal controls using QuickBooks financial software.

The Life and Death of Malware Has your computer ever asked for your credit card? Malware attacks have evolved considerably in just the last few years. At the core of this evolution is the cybercriminals' focus on making money. This is how the scam happens: You follow a link in an email or you're just surfing the Internet and something pops up on your screen that says it has found viruses on your computer. At this point you should just hit a big red X to stop the infection. If you don't, it will continue to take over your computer. Some very convincing pop-ups will show up and start a fake scan of your computer. It is just a matter of time until it asks for $80.00 or some amount of money to fix all your "problems". Whatever you do, DO NOT ENTER YOUR CREDIT CARD. These are fake anti-virus products.
There is one story about a user that entered his credit card information. The software said there was something wrong with the credit card number. It suggested that he should try another card. He did this five times before realizing it was just tricking him into giving several credit cards. At the end it would charge each card $80.00. Ouch!
