Message from Brian...
Hello all and welcome to the 2011 - 2012 ARMA Year. I hope everyone enjoyed their summer and is looking forward to our upcoming session. I would of course like to extend our thoughts and hopes that all of our members made it through Hurricane Irene safely and without too much damage. If you or your company has been affected by the disaster and need resources from ARMA or our Board of Directors, please do not hesitate to reach out and contact us.
In regards to our upcoming year, both the Board of Directors and I worked hard to provide a wide variety of topics and speakers for the group. Our challenge is always finding what you want to hear -- so as always please let us know!! Our first meeting will be Tuesday, September 13th and we'll be featuring Joe Mariano from Boehringer-Ingelheim Pharmaceuticals who will be presenting with another colleague (Gina Sammarco) at the ARMA International Conference in Washington, D.C. in October.
This month's educational topic: "Managing a Multi-Generational Workforce" comes at a great time as the switch in records continues to evolve from paper to electronic, so does our workforce. Think about the file clerk who is now a CRM or the old storage room in the basement which is now maybe a staffed file room with servers. Our industry has changed in scope quite dramatically over the years and now so is the workforce.
I look forward to seeing everyone and kicking off the year together.

June 2011 Meeting Recap
The Scherer Library of Musical Theatre, Goodspeed Opera House Tour, Gelston House Dinner (Annual Awards, Chapter Member of the Year)

On June 21, 2011 the ARMA Connecticut Chapter hosted their Awards Dinner at the Gelston House and a tour was given of the Goodspeed Opera House and Scherer Library. The event was well attended and it was a beautiful early summer day. The tour was very interesting and we were delighted to not only see the Goodspeed Opera House "up close and personal" but a tour of their archives and library.
Dinner was quite excellent at the Gelston House and the views of the Connecticut River were scenic and quite beautiful. After dinner, Doreen Smith, Director of Awards & Special Events, handed out several awards -- Certificates of Appreciation were given to members of the Records Retention Committee: Anita Castora, CRM, Holly Mazzeo, LeAnn Power, CRM and Christina Doyle. Also, a Certificate of Appreciation was given to Bill Ludkiewicz, CRM, for coordinating the logistics of the Spring Seminar at MGM Grand at Foxwoods. A number of chapter tenure service awards were presented to Don Dupont; Ron Ellis, CRM; Ray Jansak; Joe Mariano (not present) and Jim Merrifield.
The high point of the evening was when Doreen announced that the prestigious Chapter Member of the Year was awarded to Jim Merrifield. He was recognized for his contributions during this past year especially for the amazing vendor support he brought to the chapter, his wonderful attitude and enthusiasm and for the many other contributions made to strengthen the chapter. Congratulations, Jim!

NEW THIS YEAR ... CRM STUDY GROUPS
Anyone who is studying for the Certified Records Manager (CRM) exams can sit with a CRM during the 5:30-6:00 pm networking period to ask questions, get advice or look for whatever help you may need. We can also work with you one on one, just let us know your preference. We are very fortunate to have so many CRMs within our chapter membership and one or two are usually in attendance at each meeting. Just let us know that you are studying for the CRM and we can make ourselves available. Even though we are always available, we want to reach out to members who are thinking about pursuing the CRM or who are already in the process by making ourselves available at Chapter meetings especially during the networking portion.

It's 9 a.m. on Monday morning ... Do you know where your records storage cartons are?

I'm betting you think it is a ridiculous question. If you maintain your own on-premises or off-premises off-site storage, there's a simple answer. If you maintain your off-site inventory in a commercial records center, it may not be such a ridiculous question or the answer so simple.
I've spent over a decade in management positions for commercial records centers in multiple cities - here's one of the first things I learned: "the majority of customers never visit the facility." This doesn't only apply to customers with whom you've done business for many, many years. Many new customers never view the facility before the final decision is made to store corporate, legal, medical, financial or other valuable company records in an off-site location.

Becoming a CRM ... A Case Study

Dan McKnight is a Senior Consultant with Iron Mountain Consulting Services. His project work includes development and implementation of Records Retention Schedules, policy and procedure development, records management training development and rollout, and records
and information management program assessments. Prior to joining Iron Mountain, Dan held senior operations management positions in two major financial services organizations. His relevant experience includes Document Custody Management, Mail, Imaging and Corporate Workflow Management, Project Management and Vendor Selection and Management. At one of the organizations, Dan led a corporate effort to revamp the Records Management Program and chaired the Corporate Records Committee.
Meanwhile, as Dan progressed in his career, he was missing one thing - the CRM designation. He decided along the way to pursue the CRM designation. His opportunity came when he was between jobs in 2006 which afforded him time to focus and study. Dan stated that although he was always involved in RIM in different projects and aspects, he realized what he didn't know when he began to study for his CRM. Being ambitious and motivated, he successfully passed Parts 1-5. When he began to study for Part 6, he reached out to the ICRM for some assistance, and that's where I come in. I was contacted via email from another CRM, LeAnn Power, to assist Dan. So, I reached out to Dan and we began to work together. I sent Dan a couple sample Part 6 case studies and he went to work with his responses. Dan did a great job, and we had follow up conversations discussing his answers for each sample case study. We would discuss the "best answer" and I offered my perspective from my experience. Time passed, Dan took his test and what do you know, he sent me an email with a copy of his letter from the ICRM stating that he has passed Part 6 on his first try!!! Dan's hard work and RIM experience paid off and he is now a CRM. He was recently made aware of someone else pursuing their CRM and took the opportunity to share some of his study information. Records Managers are good people and love to help others!
Dan is married with three children and one grandchild, and he lives in Fairfield, CT. In his spare time, he likes to play tennis, work out, read and spend time with his family. Congratulations to Dan on achieving the prestigious CRM designation!

Chapter Supports Goodspeed's Scherer Library of Musical Theatre

Our June, 2011 tour of the Goodspeed library revealed a significant need to improve the organization, access and protection of its diverse collections. The Scherer Library of Musical Theatre collection "boasts more than 70,000 items providing an invaluable resource to academics and professionals around the world." Recognizing the Library's need, the Board decided to help in two ways. First, on June 27, 2011 Ray Jansak sent a donation in the amount of $500.00 to Josh Ritter, Education and Library Director (see image of letter). Second, we offered to provide pro bono RIM consulting services at some level to be mutually determined.
On July 29, 2011, former Chapter President Bill Ludkiewicz, CRM and Board Member Ray Jansak were invited to an appreciation luncheon with Goodspeed's Development Director Caitlin Quinn, Sara Breen, Manager of Corporate Relations and Josh Ritter, Library Director. On behalf of the Chapter, Bill and Ray accepted the deep appreciation expressed by Goodspeed Musicals for our support. The conversation quickly evolved into a discussion on how the ARMA Connecticut Chapter may help on some level by contributing its professional expertise. To that end, Bill Ludkiewicz suggested that the Library begin with a strategic vision of its collection strategy.
By better defining what collections should be supported and shared, priorities and resources can be determined. The tactics of implementing priorities is where ARMA
may be able to help. Implementing a better security and fire protection scheme might be a place to start. Also, researching and implementing electronic web-based library management software would be a tactic that could have an immediate benefit.
In the coming months, Josh and his associates indicated they will be meeting with the Library Advisory Board and management to discuss strategies and resources. As you may expect, being a not-for-profit organization often means limited time and resources. We wish them success and hope to collaborate with our new friends at some time in the future. To keep communications organized, Bill Ludkiewicz has volunteered to be the Chapter's liaison to Goodspeed regarding Chapter assistance. Bill may solicit volunteer work from Chapter members if and when a need arises. Stay tuned.

Using Social Media in Organizations
A new ARMA International standards work group has taken on the task of developing a technical report to complement the American National Standard ANSI/ARMA 18-2011 "Implications of Web-based, Collaborative Technologies in Records Manaement," which was published in January 2011.
As with other standards, that document contains many "shalls" and "shoulds." It tells us "what" to do but not "how" to do it. Now we're turning our attention to the practical matter of providing the "how" guidance in a new technical report, "Using Social Media in Organizations." And we need your help.
Please share your ideas, thoughts, successes, challenges, lessons learned, and best practices through a new "Social Media" iConference group we've established at http://iconference.arma.org You do not need to be an ARMA member to join.
The members of the "Using Social Media in Organizations" project team will be actively participating in this discussion forum. We look forward to the opportunity to discuss this new project with you.
