Planning the Perfect Meeting

With the beginning of the year under way, it's safe to assume that your calendar is booking up with meetings.  Our society likes meetings.  Whether you are a group of people coming together to share ideas, solve a problem, or make new decisions, these simple steps will help make your next meeting more productive.

 

Steps to Planning the Perfect Meeting:

  • First decide "What type of meeting are you going to have? (problem solving, decision making, planning, reporting and presentions, evaluating, etc)
  • Who should attend this meeting? Make sure you have as many points of view as possible.  Ideally anyone who is affected by or has expertise regarding the topic should be included).
  • Choosing the right room and set up.  A rooms "body language" sets the tone for any meetings.  If there is a semi-circle than group members understand the meeting to one of colloboration, if there is a podium, group members expect a lecture, etc, etc
  • Create and send an agenda out before the meeting, so everyone knows what to expect.
