A Time for Everything:
Choosing the Best Time for Your Event
SUCCESSFUL CAMPUS EVENTS USING SPEAKERS
Day Planner

Greetings!

Along with deciding who you'll invite to speak, what the seminar topic will be about and where to hold your event, you will need to choose a date and time for your event.

Some seminars or workshops are already locked into a time frame, such as a reoccurring lecture series or an annual leadership seminar. Other topics and themes are time-sensitive, such as Hispanic or Black History month, new student orientation or commencement speeches. Still some topics are appropriate all year long such as leadership, time management and study skills. These universal themes are practical topics which draw audiences year round.
  1. The first step in choosing the best time for your event is to check the school calendar to make sure there are no other conflicting events. Does your ideal date and time fall over a popular sporting event or school in-service? Once you have cleared the date and time, you can proceed confidently.

  2. When planning for your seminar or workshop, you should work as far ahead as possible to assure the speaker(s) you want are available. Try to book your speaker at least two months in advance.

  3. Consider the time of the day, when planning your event as well. A luncheon meeting is popular but can be costly if food has to be provided. A late night seminar can draw a decidedly different audience than a day time event. Match your event's audience with the appropriate time.
Choosing the best time and date for your event requires a small amount of due diligence-but the result is a well-planned and timely event.
