DO Include Others in the Planning Have planning meetings early in the process so you and your team can brainstorm all the details to be covered. Involving others also gives them a sense of ownership, making it more likely for them to volunteer and follow through. DON'T Reinvent the Wheel The professional speaker you hired can be a great resource. Ask the speaker what prewritten materials or promotional supplies he or she may have. They are just as interested in making your event a success as you are! DO Delegate the Details Just as in business, a true leader knows how to delegate. As the event planner, you can't be expected to do it all. In order to keep your eye on the bigger picture, you will need to delegate out smaller details to your team members and volunteers. DON'T Wait Until the Last Minute Create a master checklist of what needs to be done, who is assigned to the task and when the task is due. Allow enough time to address each issue. It's easier to be proactive than reactive. DO Follow Up Even though you may have delegated minor tasks, the buck still stops with you. Have a last minute meeting a few days in advance of the event to make sure all areas have been addressed and covered. You'll still have time to fix any gaping holes or missteps. DO Say "Thank You" A thankful and gracious leader is a great leader. Let your team know you couldn't have done it without them. They will appreciate the recognition and will be more likely to volunteer next year. |
