Greetings!
Happy New Year! This Council kicked off the year by hosting a meeting of our local unit presidents on January 11 to review important topics such as electing a nominating committee, conducting elections, discussing special purchase allocations and covering the financial matters and requirements of our PTAs. This annual gathering affords our presidents time to focus on the duties of the office, to network and to bring questions and concerns to the council board for assistance.
Looking ahead, please note the date of CCCC's Founders' Day Dinner being held at Clear Lake City Elementary School on February 9. That is followed by this Council's annual Reflection's Reception, which displays the artistic works of our students that have advanced to the council level from the local units. The date for this event will be February 16 at the Tad Aker Event Facility in League City.
February 24 - 26 brings the state convention for Texas PTA to Houston. I encourage our local PTA members to attend, as there will be workshops, speakers and a chance to see how membership meetings are run at the state level.
As you well know, January brings a renewed energy level to our PTAs. Our units are busy planning spring events and looking forward to the weeks ahead. The CCCC executive board will be there for support along the way.

Annual and Quarterly Sales Tax Reports Due January 20, 2012
Whether your PTA files an annual or a quarterly sales tax report, the next one is due on January 20, 2012. To ensure your report is correct, TX PTA sent out the following reminders:
- Total sales will equal the amount of PTA receipts as a result of the sale of tangible property. Therefore, Local PTA membership dues, an admission price to an event or donations are not considered sales. Total sales will be the accumulation of the income from items such as spirit wear, school supplies, cookie dough sales and school store merchandise.
- Taxable sales are those sales that are held and the PTA collected tax. In the example above, the cookie dough fundraiser sales would not be included as taxable sales because this event is already considered a tax-free sale. Any taxable sales that occurred during the two tax-free days would not be included in this calculation as well.
- If the PTA owes sales tax, then the report CANNOT be filed electronically - if you owe sales tax, you must pay with a signed check that has two authorized signers and send this in by mail with your tax form.
All PTAs must file either the annual or quarterly sales tax report - you probably received a copy of this TX Sales Tax form in the mail already. This is different than the 990 form you submitted to the IRS back in November! Many presidents and treasurers received an e-mail about a possible extension of the 990 filing deadline. This does not apply to any of the PTAs in CCCC, since all of the fiscal years for CCCC PTAs end in May or June, and our 990 forms were all due back in October or November. This extension DOES NOT apply to the Sales Tax filing - so please file your annual or quarterly sales tax as usual by January 20, 2012!
$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$$
NO EIN Verification Form DUE BY JANUARY 31 this year!
Texas PTA is implementing a new form this year called Annual Tax-Exempt Confirmation Form. It takes the place of the EIN Verification Form beginning this year. The Annual Tax-Exempt Confirmation Form is to be submitted to Texas PTA within 15 days of filing your local units 990 form to the IRS. For many of your units this means the form will be filed in November of 2012 unless you file your 990 earlier in the year. The form can be downloaded, completed and mailed to Texas PTA or completed online. |

We always have a wonderful variety of items, so all types of donations, large and small, are welcome -- except for alcoholic beverages. Please keep in mind any businesses that you patronize on a regular basis, including restaurants, nail and hair salons, pet care providers, entertainment venues, and gift shops. These are fantastic sources of donations, as owners already appreciate your support. I would be happy to pick up any item that you are contributing or that you solicited from a local merchant. Voter Cards
A voter card identifies a voting member of your PTA. Voter cards are used in general membership meetings when the audience includes non-members. PTA encourages non-members to attend general membership meetings so they can become aware of what PTA does and decide to join PTA. Often, people, who are not members, don't realize that they don't have the ability/right/privilege to participate in PTA meetings. They may try to nominate someone, second a motion, vote, participate in discussion, or use other privileges of membership.
Why Use Voter Cards: Voter cards help the president identify who can participate in the business of the PTA. For example, without voter cards, it is possible that officers could be elected by people who are not members - and may not be aware of the qualifications for a good PTA officer.
What Voter Cards Look Like: Voter cards are unique cards that are easily recognized at a distance by the president. They are usually brightly colored pieces of paper, and are best when they have printing on them with wording such as "Smallville Elementary PTA January 10, 2012 Voter Card". The voter cards are changed to a different color at each membership meeting, so that a voter card from a previous meeting can't be used at a future meeting. These "precautions" are designed to make it clear who can vote, so that members of the association can have their voices heard. That's why you pay your dues.
How to Distribute Voter Cards: An easy way to do this is to have a sign-in table at the entrance to the general membership meeting. The membership chairman brings a list of the voting members. To receive a voter card, members either show their PTA membership cards for your PTA, or the membership chairman looks up their name on the list. Voters' cards are disposable, as they will not be used again.
Voter cards are not needed in meetings where all the voting members are known to the presiding officer (president), such as executive board meetings.

Kids these days are spending too much time sitting still, and it's becoming a major health risk. American children 8 years old and above spend an average of 6.5 hours a day engaging with media technologies including watching TV, using the computer and playing video games. Studies have shown that the more TV kids watch, the more likely they are to be overweight.
Increasing physical activity improves cardiovascular fitness, helps prevent obesity, promotes a healthy lifestyle, boosts self-esteem and confidence, and reduces stress. You don't need to have a lot of fancy equipment or a membership at a health club-there are many ways to make your family's lifestyle more active. To overcome resistance from reluctant youngsters, it helps to make the activity fun. For example, don't just run with a young child-run like a penguin or hop like a kangaroo! Or have a destination like the park or zoo!
Here are 15 ideas for getting your family on the move:
- Take active vacations (hiking, swimming, skiing).
- At the mall or when running errands, use the stairs rather than the elevator.
- Get pedometers and have a contest to see who takes the most steps in a given week.
- Start a new tradition: take the whole family out for an after-dinner walk around the neighborhood or park.
- Take on active chores as a family (gardening, raking leaves, shoveling snow, or washing the car).
- Spend an afternoon at the local playground.
- Play a sport together (basketball, soccer, baseball, softball, touch football).
- Dance to your favorite music.
- Go for a family bike ride.
- Plant a family garden.
- Play miniature golf.
- Go to the zoo.
- Take the dog for a long walk.
- Whenever possible, walk short distances rather than using your car. When you drive, park a little farther away from the store.
- Play games that your kids love (tag, Simon Says, Red Light/Green Light, Duck-Duck Goose

Program Events: PTA Teacher Appreciation Week
Plan to host a teacher appreciation event in your school or community.
Sometimes a simple thanks is all a teacher needs to feel valued. Sometimes a school wants to do more for those at the heart of learning.
At Barnard Early Childhood Center in New Rochelle, New York, the children were each given a sheet of paper to decorate with a thank-you for their teachers. The school PTA
®mounted the resulting poems, drawings, and heartfelt notes on poster board and, late one evening, hung them throughout the school as a surprise for the teachers. According to PTA co-president Alysa Vasapolli, "The teachers were emotional and overwhelmed and want[ed] to keep their posters as mementos."
Teachers at Brookview Elementary School in Indianapolis, Indiana, were surprised with "Academy Awards" at a schoolwide assembly in the gymnasium, decked out with stars and spotlights for the occasion. The PTA honored every teacher and staff member, from administration to teachers to janitors and lunch ladies. "The kids were absolutely amazing during this ceremony," wrote Carissa Dollar, president of Brookview Elementary PTA. "They screamed and cheered for our staff just like they would have cheered for their favorite stars. They slapped high-fives with teachers and chanted their names as each winner stepped up onto the red carpet to receive their golden apple. The teachers were totally surprised and genuinely touched by the whole thing."
Since 1984, National PTA® has designated the first full week in May as PTA Teacher Appreciation Week, a special time to honor the men and women who lend their passion and skills to educating our children. PTA events at the national, state, and local levels celebrate the outstanding contributions teachers make.

CAMPUS in the SPOTLIGHT
Has your PTA Unit accomplished something great at your Campus? Do you think other schools might benefit from this "something"? Are you willing to share your successes?
If you have started a new program, improved an old one, had a wonderful guest speaker, parent and/or student workshop; then we would love to share your ideas with others so that they can try them at their campus.
To encourage these innovative ideas and to applaud the PTAs and Campuses that allow them to flourish, we continue our program called "Campus in the Spotlight."
All entries will be judged and a winner announced at each CCCC Regular Meeting. The winning entry will be presented at the meeting.
If you have a program you would like to submit for this honor, please click
