Insider's Link to Productivity Newsletter            January 2011

This month's edition of the Insider's Link to Productivity focuses on  administrators and their impacts in organizations. Recently, we received an unsolicited e-mail from an administrative assistant at Children's Hospital who shared her story with us. It inspired us, and we wanted to share it with you. This story demonstrates how anyone can create alignment and increase productivity within their group.

Jennifer Wilmoth, McGhee Consultant, offers firsthand advice in her blog series for how administrators can go beyond having strong "relationship" with their bosses through building powerful "partnerships" with them.

Administrator Uses McGhee Methodologies to Feel Like the #1 Assistant of the Year
Submitted by: Katie Loutherback, Administrative Assistant, Children’s Medical Center

I am an administrative assistant at Children's Medical Center. This past September we switched e-mail software from GroupWise to Microsoft Outlook. Being an assistant, I am in e-mail all day long checking my e-mail and my boss's e-mail, scheduling meetings, coordinating calendars, etc. Needless to say, I was very concerned about my productivity while I was getting up to speed using Outlook. And my boss was counting on me to learn everything so I could show her how to navigate it. That's when I began looking for information to make the transition easier for both of us, and that's when I discovered your book Take Back Your Life to Get Organized and Stay Organized.

I read the entire book and built your Integrated Management System in my Outlook as well as my boss's. This past week we met and I had her take the driver's seat by watching her take a few e-mails through the system. She is the Senior Director of Nursing and Administration in our Emergency Services department and attends meetings nearly all day Monday through Friday and receives an incredible amount of e-mail, not to mention participating or steering 40 odd projects the department is working on. It was a real eye opener for her to have her weekly calendar and her task bar opened right next to each other. Seeing all those projects and tasks that she needed to work on next to a calendar that was already full, she had a light bulb go on. She got it. And she knows she now has a system that can help her.

Working this system is going to be a major change for her. And it's going to be tough. But I know she's going to succeed with my help. Reading Take Back Your Life! to Get Organized and Stay Organized, setting it up, presenting it to my boss (who doesn't have time to read it), and being her "customer support" has made me feel like the #1 Best Assistant of the Year. You've made a very positive impact on both of us. So thank you so much for your book.

E-Mail Tip - Using the P.A.S.S. Model

E-Mail is a powerful tool that has the ability to increase productivity when used properly. The P.A.S.S. Model is designed to help you think about your e-mail communications in more depth before hitting the send button. The result: clearly defined messages that produce effective action with a minimal number of communication cycles.

The P.A.S.S. Model consists of four questions to ask yourself when writing e-mails that are lengthy and take more than two minutes to write...More Read more

by: Jennifer Wilmoth, McGhee Consultant

When I ask administrators, “Do you have a powerful partnership with your boss?” I often hear, “Yes, we have a great relationship.” And I believe it; they wouldn’t be where they are, doing what they’re doing, if they didn’t have a good relationship with the person they support. But…that wasn’t my question. So, let’s start by creating a distinction between relationship and partnership...
