How Long Do In-Plants Save Graphics Files for Clients?
IPMA recently polled in-plants to discover how long graphic files are archived. The responses varied significantly.
"Per our auditors, we keep job tickets for four years (the longest archiving would be four years). The saved digital file can be retrieved for as long as ten years, but if it is something that changes annually it won't be saved."
"Once a year or so we will contact the owner of the form or files and ask if we should keep or delete the job."
"I put in place a document shared drive for the Print Center that allows each department to view and maintain their own documents that are sent to the Print Center. It has cleaned up our network drives so there is not file duplication. Files, too large for email, can be easily retrieved. It has also allowed the Directors to see what is being printed by their faculty or instructors. Templates from our Marketing Department can be shared so a uniform branding and signage is obtained around the campus. This concept can be easily duplicated by any in-plant by using a shared drive or an FTP site."
"For about 5 years we have been keeping all graphic files in PDF format to use with our DPM. We store the files free of charge on the Main Frame indefinitely."

LDS Church Printing Division Excels in Efficient Management Practices

The Printing Division of The Church of Jesus Christ of Latter-day Saints in Salt Lake City, Utah, has earned IPMA's 2012 Management Award, presented annually to an outstanding corporate publishing and distribution operation that excels in efficient management practices. Under the leadership of its Director Craig Sedgwick, CGCM, the 329 person in-plant team has successfully launched many vigorous initiatives and improvements, making the operation stronger, more responsive, more efficient and more competitive. Some highlights of their many accomplishments in 2011 include:
* Over 16% reduction in spoilage;
* Increase in volume of nearly 5% to about 8 billion impressions;
* 3% improvement in production cycle times;
* 93% on-time delivery rate;
* Application for Voluntary Protection Plan (VPP) certification through OSHA;
* 26 employees earn one or more GATF certifications.
