Summer is officially here and that means we are almost half way done with 2010! In the past six months, a lot as happened at MetaVis - new product features, partnerships (Vamosa, Spectrum Systems) and a host of events. Most importantly we have focused the past six months on helping our customers develop successful migration strategies for SharePoint 2010.  
 
As with any move, we believe being organized makes everything go smoother. Would you move from one messy house to another? No, you would get rid of old and unused items, de-clutter and get organized.  Same is true for migrating to SharePoint 2010. Don't migrate your mess, organize it to maximize the benefits of SharePoint search, navigation, governance.

In this month's newsletter, we have included a number of articles related to migration - specifically moving content or lists.  Use these techniques to help make your migration easier.

Filter Based SharePoint Content Migration
Want to migrate data while at the same time prepare the new SharePoint environment, train your users or organize existing content?  Let MetaVis Migrator help. Here is how you can use MetaVis Migrator filters to copy content to a new location or to tag existing content setting new values for the existing fields.
 
Sometimes copying data from one SharePoint site to the other one is a quick process that can be done by copying the whole list or library from one place to the other one. However, in other cases this can be a complex routine involving copying different items in different locations.  Or worse, migrating a portion of data in one day and another portion of data in the other day when users of the content are ready to use new environment. In the later case, it would be useful to use a combination of some artificial field marking the migrated content in the source site, (MetaVis Migrator copy) filters and SharePoint views hiding the content that was already migrated to the destination site.
 
The idea of this slow pace migration technique is simple.
  1. Create an artificial Yes/No field in the source list that will indicate that an item is copied to the destination site. By default this field will be "No" for all items / documents in the list.
  2. Go ahead with the migration activity selecting portions of data to copy based on some filter condition. The filter will always include the condition to exclude the content which is already migrated based on the state on our artificial columns that we created earlier. 
  3. After the copy is completed, use the very same filter that you just used to copy content but this time - to tag selected source data setting your artificial Migrated field to Yes - indicating that this content has been already copied to the destination site. Using the same filter will ensure that all items just copied using this filter will be marked as Migrated.
The fact that all copied content has been marked with certain criteria can be used in a variety of ways. For example, you can now skip the content which was already copied before when performing new copies to the other places. Or use this technique to create a list view that will hide copied content from the viewers. Having this condition enabled for the list view will point out that the content is already located in the new destination.
 
Copy SharePoint List With Content Types To Different Site Collections 
 
At MetaVis we are always asked for new and better ways to copy and move content.  Here is a cool technique to copy SharePoint list with dependent content types to different site collections.  We know this task may seem simple considering there are tools on the market (like MetaVis Migrator) that let users grab a list and drag it and drop to the other site collection while performing some copy magic behind the scenes. Before doing the drag and drop, there are things to think about -- the list may have content types defined in the parent site, not in the same site where the list is defined.
 
Consider two sites: root site of the site collection (Publishing Portal on Cars in this case) and its sub-site (Mark's Site). The parent site Publishing Portal contains definitions for content types such as vehicle make. Sub-site Mark's Site contains the list itself with all content types, views and content.  We want to take a Repair Manuals list and copy/paste or drag-n-drop it to some other sub-site of some other site collection.
 
If we do just that then the list will be created in our destination sub-site and all content types (that were before in the root site of the site collection) will be now created in the same destination sib-site. This is not ideal because someone created these Vehicle-based content types in the site collection root with the purpose to reuse it in different sub-sites of the same site collection. It would be nice to preserve this architecture in the destination site collection as well.
 
To do this we need to copy this list twice. First time, copy it to the root site of the destination site collection even if it ultimately should not go there. This time do not copy content, do not copy permissions, workflows or views related to the list. Just copy the list itself and all dependent content types. This way, all content types and fields will be automatically created together with the list in the right spot of the destination site collection. These content types and fields may be reused later on by other sites of this site collection. 
 
When using MetaVis Migrator, there are options to copy just list with no content and other attributes.  This makes the task easy. After, delete the list from the root site of the destination site collection. All content types created in the root site will still be there because they are defined outside of the list.
 
As a last step, copy the same list again but this time - to the right sub-site of the destination site collection. It will create the list and reuse all content types from the root site created during the previous copy. This time, select all options for copy content, permissions and views on the copy list wizard screen.
