October Debut of Combination Class/Supplies
at Acorn Sales Company in Richmond, VA
Effective October 15, 2008, Virginia Notary Public Classes (Mid Atlantic Mobile Notary Services, Inc.) and our business partner, Acorn Sales Company, will offer the following combination package:
Notary Law & Procedures (2 hour training program)
Official self-inking state seal notary stamp 
Acorn's Notary Journal
This combination package will be priced at $99.00 (plus sales tax and shipping if applicable). The great advantage of this combination package will be for participants who register by the class registration deadline. Those participants will leave class, fully trained, with their official notary seal and journal.
If there is an extended registration, those participants will leave the class with their journal. Their official seal will be shipped to them.
Additional notary supplies including stamps i.e. jurat, acknowledgement, copy certification, loose certificate; embossers, etc. can be purchased after class at Acorn Sales Company.
Restrictions: This new class/supplies combination package will currently be offered at Acorn Sales Company and for company employee notary training in Richmond, VA only.
Requirements: You must include in your registration/payment your exact notary certificate name, commission ID number and expiration date. You must bring your original notary certificate to class in order to receive your notary seal. |

Can I certify a true copy an original document if the original document came from another state?
Yes, you can certify a true copy of an original as long as the document is not a public record. Because of variations in state law, when certifying a copy, a Notary must be sure to clearly understand what can and cannot be done to avoid violating the law or producing a "certification" that has no legal standing.
In Virginia copies of birth, death and marriage certificates can only be certified by Vital Records in Richmond. You must copy or supervise the copying of the document using a photographic or electronic copying process. You must also compare the document to the copy and determine that the copy is accurate and complete.
The signing company is asking me to "certify" the note when there is a place for a signature above the notarization that is blank. The company is saying it needs to be signed, but they have accepted an acknowledgement of the signatures in the absence of the certification signature. The signing company says "everyone is doing it." Should I notarize the following statement:
This is to certify that this is the Note described in and secured by a Deed of Trust dated on the Property located in , Virginia. Notary Public My Commission expires:
It is not uncommon for signing companies to press for improper notarizations. If you are not sure about a notarization, remember that the VA Notary Handbook clearly lists the five basics notarial acts that you can perform. Additionally every notarial act must contain seven items of standard information. The above statement does not comply to VA Notary Law. Refer to VA Notary Handbook, pp. 4 & 5
The notary who asked this question refused to notarize this document. She had also inquired about this notarization from the Commonwealth Attorney's office and was told that "a lawyer could "rip you to shreds" in this situation."
Remember that you are personally liable for improper notarizations and can be sued for damages. Additionally Notary Errors & Omissions Insurance only covers a notary's error or omission. There is currently no Errors & Omissions insurance for notaries performing as signing agents unless you are CRESPA registered.

Reminder from the Notary Division:
Notaries are required to sign their signature with their Notary Certificate Name. This is the name that you filled out on your Notary Application and the name that appears on your Notary Certificate. Often new notaries, who are using three names (first, middle, last) on their certificates, are not used to signing their full names.
A notarial act requires the original signature of the notary. Signature stamps and other facsimiles or photocopies do not satisfy this requirement. Refer to VA Notary Handbook, p. 7
