Authentications
Local courthouses can provide authentications
Recently we received a request from a Michigan law firm to notarize a signature for their client in Virginia. Specifically they asked that the notarization be performed by a notary who was commissioned in the City of Alexandria. After the notarization occurred, the notary traveled to the local courthouse to have her signature authenicated. The notarized document and the authentication letter from the courthouse were returned to the Michigan law firm.
We discovered that notary authentications on a local level occur daily. Some authentications are required for particular countries. Those authentications are then forwarded to the Notary Division in Richmond where an apostille is issued prior to being sent out of the USA.
Local courthouses may authenticate all types of documents, i.e. power of attorney, school reports, notarized translations, copies of passports, etc. Some of the most common errors that the courthouses see from the notaries are:
* Clients are requesting authentications at courthouses other than the courthouse where the notary was commissioned.
* One or more items are missing from the required seven (7) items of standard information in a notarial act.
* No notarial statement or wrong statement.
* Notary's signature does not match the signature on file.
* No seal or notaries still using their raised seal (not reproducible).
* Name on the notary's seal and name in the courthouse records do
not match.
* Notaries are simply signing a document and placing their seals
without a notary certificate.

How will I know when there are Notary Law changes?
If there are any changes to the notary law, the information will be available by July 1st of every year at the following website:
I just noticed that my notary embosser has my middle initial instead of my full name spelled out. Can I still use it?
Your notary certificate name, your notary seal (regardless whether it is an inked embosser or ink stamp) and signature must match. For example: Im A. Sample has applied as a Virginia Notary Public. Her application bears her identification name of Im A. Sample. Her official signature is Im A . Sample and her official seal is embossed and darkened as Im A. Sample. She can not sign I.A. Sample nor use an official seal that bears only part of her name.
If your notary seal is incorrect, please return it and request the correction. The average embosser insert is 1 5/8". If your name is long, you will need a 2" insert to accommodate it. Additionally if you have a long name on the ink stamp, the font will be reduced to include your full notary name.

Dora Rabb - Notary Public and "The Busy Bee".
My name is Dora Rabb and I provide notary services for a variety of businesses and individuals in the Richmond area. I found out about the notary signing agent business when I refinanced my home and a very nice lady, who later became a friend, came to my home to do the closing. She sparked my interest and I have been involved in signing since that time.
I took several classes through Bryce at Virginia Notary Public Classes. She is a wealth of information and she is always able to point me in the direction where I can find out the info I need. I am loving what I do as a signing agent.
First, I love meeting new and interesting people and the notary business provides an opportunity to visit places I would otherwise not go and meet people I would otherwise never meet. I have discovered that no matter how technically advanced our society becomes, there is still nothing greater than sharing life and the world with other people. No man is an island; we need each other!
Well, I keep pretty busy with all the various things I do to stay afloat in such a tough market. My friends and family refer to me as "The Busy Bee" and busy I am. I preach, teach teens how to survive in a world seemingly gone mad, assist at our church day care, help husband with our carpet cleaning service, sell real estate, help with 6 grandchildren and I just found out that I am going to become a great grandmother early 2009. Wow!!..I try to schedule my daily activities but there are times it works out and times it does not but at the end of each day I have no regrets only great expectations for a happy fun filled and productive day tomorrow.

Reminder from the Notary Division:
All Virginia notaries are required to use an official notary seal on every document that they notarize. The Notary Law specifies that the notary seal be sharp, legible, permanent and photographically reproducible. Care should be taken to not obscure the signatures or other parts of the document.
