What Are The Requirements For A Notarial Act?
Every Notarial Act Must Contain Six Items of Standard Information
1. Notarial Statement
Is it an acknowledgement? oath? jurat? certification?
2. The date of the notarial act
This is the date you perform the notarization. Often requests are made for notaries to "back date" or "pre-date" a document. You risk being sued, losing your notary commission and being charged with a crime if you perform those notarizations.
3. The place of the notarial act
In Virginia you are a notary "at large" which means you can notarize a document in any city or county in Virginia. Sometimes there is a fine line between the city/county jurisdiction i.e. City of Richmond or Henrico County; City of Alexandria or Alexandria portion of Fairfax County. Make sure you know where you are.
4. The expiration date of the notary's commission
A notary's commission is for a term of four years, expiring on the last day of the month in which the notary was born. Your commission expiration date is located on the bottom of your notary certificate.
5. Notary's signature
Believe it or not if you are notarizing multiple documents, it is easy to miss a signature. Put multiple documents aside for at least 5-10 minutes and review them again with fresh eyes.
6. Notary's registration number
This number is included on your approval letter as well as located at the bottom of your notary certificate. |

Does the SS in the Notarial Area Stand for Social Security Number?
The venue in a notarial act is the location: State and City/County. Most often you will see french braces after the venue with an SS following them.

Many people think that SS stands for social security number and they will type that number after the SS. In fact SS is Latin for "scilicet" which means "namely" or "in particular" and refers to where you are at the time of the notarization.

I learned of the important role that notaries serve at an early age. I grew up in a rural area, where a high percentage of the residents were illiterate. My father was a notary and I recall watching him painstakingly explain to people, who could neither read nor write, what they were signing. Once he felt they had a full understanding, he would then show them where to sign their "X".
Of course, as a corporate notary, my clients do not requ  ire the same amount of handholding. However, with that said, there are still challenges in ensuring that documents are properly notarized.
In the near future, I look forward to expanding my horizons as a notary signing agent.
Carolyn Owens - Notary Signing Agent
Carolyn Owens has been a notary signing agent since 2003. Starting as a part-time signing agent and full time stay-at-home mom, Carolyn works full time now that her children are in school. A flexible schedule is a priority for Carolyn. Being an independent contractor makes juggling loan closings and school schedules work for her.
Carolyn performs mobile notary work for couples who  are adopting children from foreign countries. One of the requirements for this type of notary work is that the notary's commission expiration date must be at least two years from the notarization date.
Eighteen months ago Carolyn notarized documents for a couple who were adopting a baby from Guatemala. Recently Carolyn met with the couple to notarize non-adoption documents for them. She truly enjoyed meeting Maria who just turned 9 months old. It was the first time she actually met one of the adopted babies.

Reminder from the Notary Division: Notaries can NOT change the name they were commissioned in until they renew or reapply. They can, however, sign their new name but they must always print under it "I was commissioned as....(the name that reads on the commission)." This statement can also be stamped with a personalized stamp that the notary can purchase. The notaries' seal, inked or embossed, must read their commission name.
