Spelling Matters
Your Words are Your Electronic Image

Sarah Zink 2011

Greetings!

I guess you could say that I'm "on a tear" (as my mother used to say) about spelling and grammar in communication. I believe that the inattention to spelling and grammar represents a cultural slide into sloppiness.

As always, I make no apologies for my point of view. Should the truth be known, I'm rather frustrated at the attitude of anyone who calls him or herself a professional and yet can't see the value of being concerned about spelling and grammar.

NOTE: I'd like to make a couple of important points here: first, I'm not talking about the occasional typo - that happens to all of us. I'm talking about consistent misuse and abuse of our glorious language. And second, I'm a staunch believer that there isn't EVER any occasion to be sloppy about your written or verbal communication. Casual, yes, but not sloppy.

In this newsletter, I'm going to share with you not only my point of view about spelling and grammar, but the thoughts and ideas behind them.

Feel free to share your thoughts and points of view with me, as well. I invite you to email me and share your stories and experiences.

P.S.  Are you writing a newsletter and need some "snippets" of information? You are welcome to quote anything in this e-zine, provided you give appropriate credit.

Communication is a Fragile Thing

But I don't NEED to...
6 Reasons Spelling matters
Where's Sarah?
Communication is a Fragile Thing

In a recent communication, I pointed out to the writer his poor use of our language and his retort was, "Who cares if it's spelled right? You know what I mean."

Do I really know what he means?

The purpose of language is communication; written, spoken or etched into stone, it is designed to convey a meaning, a thought, or an idea. Words, when they are connected properly into sentences, phrases, paragraphs -even outlines - are more stimulating to the imagination than a picture might ever hope to be. It's through grammar, spelling, and punctuation that your thoughts can be adequately understood by others.

I don't believe that there is EVER a time where it's ok to blow off spelling or grammar. You might choose to communicate more casually in an email, or on Facebook, but your spelling and grammar speaks to your attention to detail, your concern for communicating an accurate message, and your willingness to do things right the first time.

This Isn't Grade School

In grade school, there are often adjustments made for the "grading curve" or the "learning curve". I'd like to point out that you are now in the real world - the world of business and adulthood, and being accountable for yourself and your communication.

At some point, we, as a culture, have to stop the gradual slide into a total lack of professionalism and "right-ness". And although grammar, spelling, and punctuation errors abound in our culture, "Everybody else is doing it" won't fly as an excuse to your employer or clients any more than it did with your mother or teacher when you were a child.

Some common errors can completely change the meaning of a sentence; others simply make the writer look sloppy, unschooled, or worse, ignorant. Even a few errors will make the difference between an outstanding presentation and a "No, thank you" from a potential job or client.

It's a cop-out to say that everyone misspells words or mangles grammar - and remember, I'm not talking about the occasional misspelling. Perhaps the average person does make a lot of mistakes with spelling and grammar.

But average people do not move up the food chain. Average people aren't leaders, or inspirations to those around them. Average people don't change their community, their company, or their world.

Choose to make leadership a lifestyle and make a choice to focus on being a more effective communicator. Take those extra moments to pay attention to correct spelling and grammar.

HOW you write will often speak more loudly than WHAT you write. Don't let your message get lost in a sloppy presentation.

Understanding your employee and co-worker's behavior is critical to success. Stop wondering and learn how and why people act the way they do

and how to manage and work with them for success.

But I Don't NEED to be
a Good Speller or Grammarian

REALLY? It's amazing to me the number of people who say that they don't ever have to write anything for work - but when asked, they have at least one "yes" to the list below:

  • Online job applications
  • Business plans
  • Presentations to co-workers
  • Presentations to prospective clients
  • Business emails to co-workers
  • Business emails to customers
  • Business emails to clients
  • Building a website or writing a blog
  • Making a sign for the workplace
(is it no checks 'excepted' or 'accepted'?)
  •

We live "in the open" - who's watching you? It's naive to think that when you write an email, make a sign, write a letter or post on Facebook that nobody of consequence is watching.

    6 Reasons Spelling Matters

    1. Spelling and Grammar are your "Electronic Image" as much as the clothes you wear are your "Visual Image".

    2. Spelling Unlocks Words. Effective reading and writing skills are completely reliant on a person's confidence with words. Spelling is a vital part of the process by which a person can unlock words.

    3. Spelling Reveals Pronunciation and Meaning. Strong spellers understand the structure of words and the meaning of word parts.

    4. Spelling Supports Reading Comprehension. Spelling skill goes hand in hand with efficient word decoding and solid reading comprehension.

    5. Spelling Supports Effective Writing. Because confident spellers are adventurous with language, they are able to create richer and more persuasive sentences.

    6. Strong Spelling Brings the Reader AND the Writer Closer to Words. Spelling raises a person's awareness of their language.
