Email Etiquette
 

 

Developments in technology, like smartphones, have become great tools in business. At the same time, as we conduct business more quickly, we cannot discard basic rules of etiquette in our written communications. Try to incorporate the following tips when you send an email.

 

Subject Line

The subject line is meant to be a short description of the content of the email. It should not be a message itself. In addition, if you have an ongoing project or subject, use the same format for naming to make it easy to search at a later date.

 

Body Copy

Greet your reader using a salutation such as dear, hello, or good morning. Create a concise, clear message. If you have a series of deliverables, use bullets or numbers as a checklist. Boldface key dates. Separate different ideas into paragraphs. Do not use all caps (perceived as yelling), all lowercase (not proper grammar), or texting abbreviations (not professional). Use punctuation, proper grammar, and correct spelling. Your email should be a message, not a document. If it's an involved concept, create a document as an attachment.

 

Signature

Sign off with best regards, sincerely, or another professional phrase. Include your contact information at the bottom of your message. Use your name and company name, possibly your logo, plus your phone number, email address, and website link. All of the lines should be the same font, color and point size for easy readability and to convey that it is one piece of information. Some people like to include a tagline or quote that is meaningful to their business focus. This may be a different font or type style, such as italicized or bold, to make it stand out, but not overwhelm.

 

Be sure to review your email prior to clicking "Send" to ensure all relevant information is included, and is clear for your reader.

Networking Tip

Open-Ended Questions

When speaking with new contacts, try to use open-ended questions to keep the conversation going. If you ask questions that only require "yes" or "no," it will be a quick discussion.

 

But if you ask questions like, "What does your company specialize in?" or "Who is your ideal client?" or "What do you look for in good employees?" you will be on your way to meaningful information that allows for additional questions.
