A.Great question! Yes, you can save a lot of time emailing the same message to everyone in a specific category and you do not need to create specific distributions lists to do so. Here are the steps:
For Microsoft Outlook 2007:
• Go to Contacts > View.
• View contacts by category.
• Click on the category name.
• From the Outlook toolbar, select Actions >
Create New Message to Contact
• Click OK in the dialogue box.
• All of the email addresses in that category will display in the
To: Field.
• Hide the address list (it's good business etiquette to ensure all names and email addresses on a list are hidden): Cut and paste the email address and name information from the To: field into the BCC field.
• Click on the To: button.
• Click inside the To: area and click CTRL + A.
(This selects all addresses)
• Click on CTRL+X (This will cut address information)
• Click inside the BCC: area and click CTRL + V.
(This will paste address information)
• Enter your message and hit Send.
