Why Use Financial Adjustments
By using financial adjustments, you will not be changing any financial data for prior days. If you're modifying anything in a past reservation, whether its the room rate or guest services, you will be effecting the financials for that day. Financial adjustments are defaulted to used today's date and will effect only today's financials.
For example, one of the guests purchase a sweatshirt and wants the amount placed on their bill. At the check-out day, they notice it is the wrong size and need to return it. Because the financials for that day are already closed out, editing/deleting the sweatshirt will alter the financial information for that day. Doing a financial adjustment will apply the change to today. |
Set-Up
In order to set up Lodgical to allow financial adjustments, you will need to go to Utilities, Configuration, General Information, and finally the Financial tab.
You will need to put a check in the box next to Property allows Financial Adjustments to be made on guest reservations.
There are three options you should also utilize when using financial adjustments. Go to the Preferences tab. Make sure you have a check in the box next to Lock nightly room rates after the night has past found under system preferences. Another option that should be checked is Lock Editing of past Guest Services and Phone Calls.

The third option that you will need to check is on the Charges tab. You will need to check the option to Do Not allow editing of guest charges after arrival. With these three options checked, Lodgical will not allow editing of financial history.

Applying Adjustments to a Reservation
 When you go into a reservation, you will now see the "Adjust" button is available. To use this correctly, you should only adjust the financials for a reservation that has already past.

From this window, you are able to choose whether you want the adjustment to be on Room, Guest Charges, or Guest Services as well as choose your tax choice.
Note: You cannot edit or delete a Financial Adjustment. Be sure you are adding the correct adjustment.
Once you've applied the adjustment and closed the window, you will see the adjusted rate in the lower right corner of the reservation window.

Reports
You can find a report with all of your financial adjustments under Financials, Financial Adjustments.

Condominium Properties
Condominiums and other lodges that base their financials on departure date might not want to use financial adjustments; please check with your accountant. The reasons for this is because financial adjustments will not be reflected on the owner check and when the guest is checked out, all differences should already be settled and the total due should be zero.
