 Lynn Sherr at the Hospital Hospitality House Party 
On March 30 the Hospital Hospitality House Annual Fancy Hat Party Luncheon was hosted by award-winning ABC News broadcaster and author Lynn Sherr.

 

Lynn shared her story of her battle with colon cancer, how she faced the disease and learned to "become the CEO of your own cancer corporation."  She found solace in swimming and discussed her new book "Swim: Why We Love the Water" which includes facts about swimming through the ages and a spiritual relationship with the water.

Expertly hosted by Lisa Shaffner of UNOS, this event raised over $45,000 for the Hospital Hospitality House.

The Hospital Hospitality House provides a refuge for guests facing a medical crisis alone in a strange city, away from the support of family and friends.  Over 115,000 guests have been served at The House in the past 28 years, averaging 150 guests per night.  Located in downtown Richmond, The House accepts referrals from the MCV Hospitals, Children's Hospital and many more medical centers.

 Metadata Can Be a Mega Problem

Save As is a pretty handy feature. You can easily create a document based on another document, tweak it a bit and voila, a new document. Once you share this document with a client though, they have access to much more than just the words on the page. There is hidden data within your document that reveals all of the changes that document has gone through, including the older versions. Someone with the right skills can dig into your documents and find all kinds of information that you had no idea was there. Text that has been deleted. The date the document was originally created. The names of the authors who worked on it, and much more.

 

The culprit is metadata. Metadata is data associated with a document but is not usually visible. Some of this is stored in the document properties, such as the date of document creation, the computer name and file name, and the document authors. Other data can be found such as watermarks, headers, footers, comments, revisions and more. So when you send this re-created document to a client, they have access to significantly more information that just the words you see printed on the page.

 

There are also legal ramifications to sharing your documents. "Metadata can provide a wealth of information about electronically stored documents and it can be used by attorneys to gain additional knowledge about electronic data and it can be used to gain the upperhand in litigation." said Patrick Logan, CCE, Seltek Inc.

 

So how can you rid your documents of metadata?

 

  • Use the Document Inspector in Office 2007 & 2010. This tool scans the document for comments, annotations, hidden data and more. It will notify you if this information is present, then with a click of a button it is removed. 
  • Save the document in Rich Text Format (.rtf).
  • Convert to PDF. Though date created and author information types remain, the data from tracked changes is removed.

 Association of Legal Administrators Annual Retreat
 

The Virginia Association of Legal Administrators (ALA)  had their Fourth Annual Statewide Retreat at the Kingsmill Resort in Williamsburg on March 9 and 10.   This event topped attendance records with 236 members, business partners and guests.  Commonwealth Computer Training was a proud dinner sponsor at the event.
