Securing Your Critical Data
data securityLast year's WikiLeaks release of secret government reports made headlines, but it's a reminder of how security of critical data is essential to every organization.

Many employees today have access to electronic data in the workplace, leaving you vulnerable to exposing personal information, business secrets, and confidential information.

While you can't prevent every possible theft or accidental distribution of private or confidential information, you can take steps to defend against it happening.  Here are a few:

  • Keep tight internal control of electronic data access; provide on a need-to-know basis
  • Destroy older data no longer needed regularly; ask your accountant for guidelines
  • Monitor employee electronic activity and investigate abnormal behavior
  • Track network activity, scan all e-mail, and audit information being accessed remotely or provided to outsiders
  • Overlap employee responsibilities with access to sensitive data
  • Maintain written policies and procedures about use of, and access to, data, digital equipment and systems. Be clear about consequences if information is misused or wrongfully distributed.

For information on securing your critical data, contact any EDTS associate.

What Your Business Needs to Know

About Data Encryption

encryptionEvery business needs an IT security plan.  And if you have confidential data that needs protection, you should consider encryption if:
  • You store or back-up data offsite
  • You use laptops containing sensitive information
  • Your industry has data protection regulations
  • You perceive a threat to your data from any source

Data encryption is an affordable security tool that ensures confidentiality of critical information.  Data is scrambled to make it virtually unreadable and is almost impossible to crack... ideal if  you maintain Social Security information, customer records or other sensitive data.

If you encrypt data, consider solutions that protect data stored on-site on servers, workstations and laptops as well as data in transit between email accounts.

On-site encryption should include folder encryption (ideal for safeguarding HR records and financial and project data), drive encryption (great for laptops) and database encryption.

Email encryption should include secure email encryption (all outbound mail from your server is encrypted), attachment encryption, and secure web portals.

While some free encryption tools exist, many lack end-user support... well worth paying for when your sensitive data is in question.

Data encryption should be a key part of your overall IT security plan. To learn more, please contact us today.

Avoiding Common Business

Email Errors

Email errorsSince we all live and die with email these days, here are some common blunders to avoid:

  • Sending before ready. Enter the recipient's e-mail address only when you are ready to send to avoid misfires
  • Forgetting attachments. Upload files before composing your email
  • Not reviewing new messages before replying. Before firing off a response, make sure a later email doesn't show the situation as already handled
  • Violating e-mail policy. Many company spam filters monitor four-letter words or terms like "job search," so be careful
  • Failing to be polite.  Include brief greetings like "hi Steve" and add "thanks" at the end
  • E-mailing when you're angry. Never do it.  Ever.
  • Neglecting the subject line. It's your headline, so make it interesting to gain attention
  • Sending wrong attachments. Always double-check before sending
  • Using BCC. Use blind carbon copies sparingly; you may intend it as a secret, but it rarely is.

Send us any common work e-mail mistakes you see, and we'll share them in a future newsletter.
