"We decided to transition our employee records to digital format in early 2007 knowing that we would be moving to the new City Hall in 2009.  The City, for a few years now, has been implementing "go green" initiatives. This was the HR Department's contribution to saving both time and financial resources. With electronic document storage, we have greatly reduced the amount of storage we will need in the new facility."- Margaret Ewing
City of Surprise
 
Using two scanners, the City of Surprise Human Resource Department, scanned in over 200,000 pages in six months.  All personnel, benefits, confidential information, workers compensation, STD, FMLA, part-time employee and terminated employee files are now in electronic format. In addition to employee files, HR has transferred various other files such as I-9 forms, and daily reference materials into electronic format as well.

There are many advantages to having all employee files in electronic format:
· Employees can view personnel files in an email.pdf, no longer needing an appointment w/ HR
· Supervisors can view an employee's past performance evaluation via emails
· City Clerk can electronically review files for public records requests
· HR staff can now view, forward and respond to requests from their computers

Margaret has worked for the City of Surprise for 2-1/2 years.   Due to budget constraints, May 29th will be Margaret's last day with the City.  Margaret's vision with Laserfiche has been an inspiration and we will miss her greatly!  Good luck and many blessings in your future endeavors!

Compressed and Encrypted Volumes

Laserfiche 8.1 introduces two new settings that you can use for archival volumes: compression and encryption.
 
Volume compression decreases the amount of space that the volume takes on the hard drive.
 
Volume encryption protects the volume by encrypting its contents on the Windows file system. An encrypted volume's contents can still be viewed through Laserfiche client applications (assuming the user accessing the volume files has the appropriate rights), but cannot be opened directly through Windows. Furthermore, encrypted volumes can be further protected by being secured. A secured volume's contents cannot be viewed by anyone until an administrator unlocks the secured volumes.

Volume encryption and compression are primarily intended for archival volumes, or for volumes that are being exported for transfer or for backup, as encrypting or compressing a volume also renders it read-only.

and quickly. The Laserfiche scanning interface provides a wide variety of
options for processing documents as they are scanned, to make them easier to
find, easier to read, and generally more informative. A good scanning
procedure is key to creating useful, well-organized repositories, and to
keeping the scanning process fast and accurate.
