Feature Article: Uniting Mobility and Productivity
Mobility takes multi-tasking to the next level. We can communicate with and serve our clients from our mobile device from just about anywhere in the world. We can send emails, make calls, schedule appointments, create contacts, review documents, and in many situations, all of the information can be "synced" back to our office. But there is much more. There are hundreds of apps specifically designed for the legal environment; research, jury selection, document prep, case presentation, note taking, etc.
While mobility very much helps to improve client service, without capturing the time you spent providing these services you are actually being unproductive. PRODUCTIVITY ≠ DOING PRODUCTIVITY = DOING + RECORDING
Without productivity, you can wave goodbye to profitability. In most law firms, productivity is measured by the billable time that can be attributed to a particular firm member. It isn't always fair, and it isn't always right - but it is how it's done.
If, while sitting in the bleachers waiting for your daughter's volleyball match to begin, you returned 6 client emails, reviewed a settlement agreement, and scheduled a deposition, you might feel as if you were productive. But if you didn't capture your time for those services, nobody else will ever know how productive you were...and you won't get paid for it, either.

Microsoft Word Tip of the Month - Try Word 2013 for Free The release of a new version of Microsoft Office is a huge event for everyone in the business world, including lawyers. Most law firms depend heavily on Word and the other MS Office applications for day-to-day office productivity. Once we get used to a version of Word, we don't like to switch, at least without a full understanding of what the new version is like.
Microsoft seems to recognize this and is for a limited time allowing users to try MS Office 2013 for free without uninstalling or disabling your current version of Office. Of course, if your copy of Word or Outlook links with other software, such as your practice management or document assembly programs, caution is advised to avoid disturbing those links. If that is not issue in your software configuration, visit Microsoft's web site and download the free Office 2013 Customer Preview. |
Use Dropbox to Sync Dragon NaturallySpeaking User Profiles
- Phil Metcalf, Affinity Speech Solutions Specialist Dragon NaturallySpeaking gets more accurate the more you use it because Dragon stores your voice information in a user profile on your computer. It uses the information in that profile to improve speech recognition. Unfortunately, profiles are stored locally on your computer. If you use Dragon on more than one computer, you won't get the full benefit of Dragon's ability to learn how you speak and the resultant increase in recognition accuracy. There is a solution. I found an interesting way to synchronize updates to a Dragon profile for users with computers in multiple locations. The file synchronization service Dropbox can be configured to synchronize Dragon profiles across multiple computers so that each one always has a current updated version. Of course, each PC must have Internet access for this to work. In the past I have exported the profile to a USB thumb drive for the user to take back and forth between the office and home or satellite offices. However, using a USB drive to update Dragon profiles can be confusing and is not nearly as elegant as an automatic Dropbox sync. If you are a Dragon user with multiple computers and are interested in maximizing recognition accuracy, contact me at pmetcalf@affinityconsulting.com or (540) 767-7633. There is a small charge for the consulting time to download Dropbox and handle the configuration of the profile sync on each computer. There is no charge for the first 2GB of Dropbox storage used. |
iPad vs Nexus 7 as a Law Practice Tool - First Impressions
- Scott Bassett, Esq., Senior Editor, Affinity Publications
My iPad 2 (16GB Wi-Fi only) and I have been inseparable for the year we've been together. It goes everywhere with me and is an essential tool in my appellate law practice. It even displaced my trusted ThinkPad notebook PC for most tasks, particularly reading and annotating transcripts and other trial court documents. Then a newer, sleeker model caught my eye. It is the Nexus 7 Android tablet made by Asus for Google. I've had Android tablets before and they were awful. So what made me think the Nexus 7 would be any different? Well, I had read about the newest version of the Android operating system, called Jelly Bean (officially 4.1), and how Google instituted Project Butter to make the user interface as buttery smooth as using iOS on the iPad. Did it work? Read the Complete Article.

Green Corner - Paper Saving Tips
Americans are huge consumers. That can be good and bad. Consumer spending boosts the economy. But we consume some things, particularly natural resources, entirely out of proportion to our population. For example, with less than 5% of the world's population we consume 30% of the world's paper.
At Affinity, we work very hard to help law firms reduce their use of paper through a variety of digital technologies. Many of those technologies are consistent with recommendations from Reduce.org. These include using editing documents on-screen instead of printing drafts, using email instead of printed memos (and don't print those emails!), and filing documents electronically instead of on paper.
For more ideas, watch an interesting 8-minute video on how to use less paper in your office. |
