Welcome to Yale Fleet Management, your source for a variety of programs and services that support Yale's fleet of vehicles.  Our role is to provide Yale departments with resources and accessible online tools to assist them in managing their cars, vans, and trucks.

New Fleet Management Software

Software demonstrated and launched in July

 

In July, we did a complete demonstration of the new FleetFocus software.  This new software program enables coordinators to manage their departmental vehicles from a computer or laptop. Coordinators can now monitor gas usage, schedule and oversee utilization of the vehicles and track vehicle maintenance, all in one record. Some functions include:  Customized reporting, service requests and mileage updates, work order status, individual dashboard customization option, vehicle inventory, reporting, vehicle maintenance and emissions reminders, and acquisition and registration information. The more data coordinators enter into this system, the more useful this new tool will be to assist with monitoring and maintaining department vehicles. 

  

Additionally, the software is internet-based so users can access the information from any Windows-based computer with Internet Explorer as their browser. Users must login with their Yale Net ID and passcode.  You can look up all your vehicles online and sort by make, model, and license plate number to access information you need, such as the preventative maintenance schedule, next emission appointment, and usage.  If necessary, you can then export this data to an excel spreadsheet if necessary. 

 

If you have a Macintosh, you can still access the information using parallel Windows software. As Yale Fleet Management grows to include more services, we are hopeful that the software will expand to meet these needs.

We worked closely with the reps at FleetFocus to customize this program to fit the needs of the overall Yale Fleet.  FleetFocus is a product of AssetWorks, a company headquartered in Wayne, Pennsylvania.  FleetFocus software is used by large fleet operators including Hertz Car Rental; the United States Department of Homeland Security; the City of Norwalk, CT; and University of Connecticut.

 

After two full months of training and regular use, we are getting great feedback from users:

Green Additions to Yale's Fleet
New Yale vehicles offer easier access for passengers with disabilities, cleaner air for all

 

The Yale Fleet recenmv-1tly added two new special services vans designed to make it easier for Yale community members with physical disabilities to get around campus. One of the vehicles has the added feature of being environmentally friendly, running on domestically-processed compressed natural gas (CNG). Read more.

 

 

 

 

Yale's first all-electric van begins deliveries

 

Smaller and more compact than other delivery vehicles, the newest addition to Yale's fleet is quiet, clean and all electric.  The new van, a Ford Transit Connect, produces zero emissions, runs strictly on battery power, and produces minimal noise. It is designed to be well suited for commercial fleets that travel predictable, short-range routes with frequent stop-and-go driving.Ford Transit

Yale's Procedure for Vehicle Procurement

Follow these simple steps

  

Yale departments needing to purchase a new or used vehicle must fill out a Yale Vehicle Request Form. After the form is completed, it should be faxed to the Fleet Management Office at 203-432-5913 or emailed to yalefleet@yale.edu for processing.

 

Please remember to fill in all the blanks and answer all the questions on the vehicle request form to help expedite your order.  All purchases and leases will need approval from and Officer, Dean or the Provost prior to moving forward with the purchase.

Fleet Management Initiatives

Need to know

 

Fleet MarkParking Tickets, Vouchers and Cards - All tickets are paid by Yale Fleet Management (YFM) and charged to the department owning the vehicles.

 

Beginning August 1, 2012, YFM will assume responsibility for purchasing and distributing Parcxmart Cards and Vouchers.  Departments wanting to purchase parking cards or vouchers please email yalefleet@yale.edu or call 203-432-2285.  Only PTAEOs are accepted for payment.  Pick up cards or vouchers at 2 WGS, 5th Floor, Suite 540.

Parking In New Haven - Policy

University issued PCards are not to be used at parking meters.

Vehicle Purchasing -  After a vehicle request form is filled out and signed, all Yale vehicle purchases are handled by YFM.

Vehicle Maintenance  - A request for proposal was solicited to local vendors in early September.  We are anticipating having designated maintenence vendors in place by the end of October.

Vehicle Standardization -  All new vehicles will be the same color (white) and have standard lettering and numbering.  No alternative numbering is allowed on vehicles except for  Security, Police and Transit.

Fueling Vendor Change - Over the next month we will transition primarily to Wright Express.  We will send a notice once this is finalized.

Fueling and Odometer Readings - All departments should reinforce with their drivers that careful attention should be paid to putting in the correct odometer reading at the pump when they fill up. 

 

The diesel exhaust fluid level of 2010 vehicles and newer is required to be checked at each fill-up.
