Situation:
The changes we discuss at our monthly staff meetings never seem to get implemented.  We just keep talking about the same things over and over!

Solution:
If your monthly team meetings are like most, you have an entire page of issues to be addressed in about an hour's time.  In most cases there is even less time available.  There is great truth in the quote "less is more"!  Stop doing a data dump and just rambling through all the issues.  Now is the perfect time of year to start conducting effective team meetings.  As a team, make a list of the new goals and objectives for the year.  Next, prioritize the list.  At every team meeting address changes with the following formula for success.
1. Review the vision of the practice.
2. Introduce one new idea at a time.
2. Discuss and define role of the four areas of the office, dentists, hygienists, dental assistants, front office.
3. Discuss and define the role each team member plays.
4. Practice verbal skills and role-playing.
5. Do a complete walk through from start to finish.
6. Tweak and fine-tune to perfection at your meeting.
7. The team is now ready to implement the new protocol into the practice.
8.  Monitor the new protocol at your daily huddles and address any breakdowns.
9.  Discuss where the breakdown occurred and resolve as a team.
10.  Introduce the next new idea on the list at your next team meeting and follow the same formula for success.

I look forward to hearing your results!

First Impressions

In December's newsletter, we lightly touched on the five V.I.T.A.L. fundamentals to Recession-Proof your practice.  Last month we began our journey covering the five fundamentals in detail on how to stop the panic and start performing the way to prosperity.  January's newsletter was on the letter V in V.I.T.A.L., the vision of the practice.

This month's message is devoted to the I in V.I.T.A.L, which stands for Individual Empowerment!  So, how do we create Individual Empowerment in our practice?

First, it is important to know and understand the vision of the practice to understand the inspiration and motivation of the practice.  For a refresher on vision please refer to January's newsletter on my website at
www.practicesolutionsinc.net/resources.htm and click on Newsletter Archives Show Your Shine, January 2009.

Education and training is the key to empowering individuals to reach their peak performance potential.  Knowing the inspiration and motivation of the practice allows the focus of the education and training to be based on achieving the practice's vision.  Team members that are highly educated and trained in the areas congruent with the vision of their practice our team members empowered to perform their role.

For example, let's say your practice is known for having state of the art technology.  It is extremely important that each team member be highly trained and educated on the technology provided in the practice.  Education and training will empower your team to deliver a message to your patient that is congruent with the practice's vision of high technology.

Your team members are now highly educated and trained to perform their role at their peak potential.

Personal Inspiration

What does Individual Empowerment mean in our personal life?  I believe we can either empower or un-power ourselves depending on the stories we tell ourselves.  Okay, I know there is no such word as un-power.  I just made it up to fit my thought.

Mahatma Ghandhi said, "Man often becomes what he believes himself to be".  What do you believe yourself to be?  Do you ever say I would love to be or do but......!

I am going to challenge your but with a but why not?  The minute you start telling yourself you ----dn't something, you know, coul-dn't, shoul-dn't, woul-dn't, STOP and ask yourself why not?  Why can't I be... why can't I do...?  Continue to question every reason you ----dn't do something with why can't I.  It is amazing how your stories and past beliefs loose their power and no longer hold up as truths.  The next step to Individual Empowerment is to begin a new story with the words, I can do that, I can be that.  Write down everything you want in life.  Then take off the breaks.  What would it be like to let your creative talents or your true self manifest fully?  By doing so, you'll be able to identify and change the limiting beliefs that are blocking you from accomplishing all you can do and be.

The final step is the action behind the words.  In other words, holding yourself accountable to your words.  Intending or wanting to do something and actually doing it isn't the same. The difference is action. And the thing that helps ensure action happens is accountability.

"One of the annoying things about believing in free choice and individual responsibility is the difficultly of finding someone to blame your problems on. And when you find somebody, its remarkable how often his picture turns up on your drivers license."
- P.J. O'Rourke

Professional Inspiration

Under the First Impressions portion of this newsletter, we covered education and training.  The next step to Individual Empowerment after education and training is clear communication.  Morning huddles, staff meetings and workshops are great ways to communicate with the entire team.

"Once a human being has arrived on this earth, communication is the largest single factor determining what kinds of relationships he made with others and what happens to him."
- Virginia Satir

Morning huddles are an ideal venue to talk about what's working and what's not and resolve any breakdowns on a daily basis.

Monthly staff meetings allow the team time to address and update systems and protocols.  They are the perfect venue for the team to role-play and practice verbal skills for the day-to-day happenings in the practice.  For example, you adopt a new protocol for new patients' exams.  Discuss as a team the flow of the appointment from the patient's first call to the farewell.  Then as a team do a walk through of the role, each team member plays as well as the transition from one team member to the next.  The transitions are where the ball is most often dropped and mistakes are made.  Once you have completed the walk through, practice role-playing and verbal skills to fine tune the new protocol or system.

Quarterly team workshops enable the team to work together to create future goals and objectives.  They are also important for developing and growing team relationships to once again unite as a team.
