Do You Have A Minute?

Boss with watchWell, the New Year is now upon us and most people are back to work.  Projects for 2012 have been funded, kids are back to school, New Year's resolutions made - and the Time to ACT is NOW!

How soon will you find that you can't seem to find the time to get it all done? This happens for most of us. We all dream of the day that our schedules will fall into place and at the end of the day we will have a sense of accomplishment; feeling well organized to start yet another day.

Through the years of coaching, I have found that there are certain practices I have given my clients that really do lead to this sense of peace and order.  They must be practiced though to set most of our time up in a way that we feel we have a sense of control and power.  Here they are:

STEP 1 - Organize Your Day
To Do List FormMany people do not take the time to make a daily "to do list". Or if they do, they do not manage it - but rather react to what comes at them. Take the first part of your day and make a list.  Limit your list to concrete tasks not just the outcomes.  When we list only the outcomes, we do not stop to think of all the tasks that we will need to complete in order to reach the outcomes. Example -  Attend son's sport event. Dress, pack car, drive to event location, etc.

STEP 2 Set Priorities for the Week

If you have special events or projects, do be sure to plan the time necessary.  Learn to say no to people who will want to rob you of the time you have scheduled for something else.  The art of negotiating comes in very well here.  You can let people know in a very neutral way that you have scheduled time that will prevent you from doing what they might be asking.  Do follow up with a counter offer on requests that you turn down.  Give them another time or a suggestion on how they can accomplish what they want without your involvement.  Kids are great at enrolling Moms and Dads at the last minute to help them out of situations.  Teaching people not to always depend on your assistance is a great way to empower others.

STEP 3  Determine the Purpose for Everything you do.
We make our list of things we need to do without asking ourselves why we are doing them.  If you are going to spend time on anything, get clear before you start on why you are doing this.  Ask yourself the question "If I do this, what will change or be impacted?"  For instance, this time of year Health and Exercise are at the top of minds for many people.  We have spent the holidays with good food and in my home town certainly good wine.  So, by choosing to spend 30 minutes each day exercising, I must get clear about why. Not because it is a good idea or because I feel uncomfortable right now.  Why is because I want to have more focused energy each day and an exercise routine will assist me in that goal.

 

STEP 4 - Practice the Art of Enrollment 
In the old days, neighbors would come to help other neighbors with projects.  Many of us have become so independent that we have forgotten how to ask others to assist us.  Enrolling your family in household chores teaches them to contribute to others. Enrolling co-workers to work with you in completing assignments can have a positive effect in building teamwork and engagement with a shared purpose using diverse resources.
