USING SOCIAL MEDIA AS A MANAGEMENT COMMUNICATION TOOLMay 2010
Greetings!

More and more I am reading about the need for more regular and immediate feedback for employees.  More and more we are seeking ways of ensuring producitivity is at the higest levels possible.  The key to improved productivity is proper and clear communicaitons. Most of us prefer regular feedback but our younger staff members require immediate and regular feedback in order to work most effectively and remain motivated.
Improve Communications and Obtain Employee feedback "real time"

Collaborative working relationships we know are very important.  We should desire to  keep open dialog with staff and obtain their open and honest feedback.
 
Creating a group through such technology used by Face book, that would allow everyone in the group to instantaneously contribute and make changes ,could prove highly valuable to the workforce and the working relationships through regular and improved methods of communications.
 
Creating a site that would allow employees to post, share and critique ideas is the goal.  We have learned that engaged employees who feel they contribute in a significant way, are more motivated and stronger performers.
 
Allowing employees to post profiles and photos as well as their job duties and areas of expertise is the first step in getting to know one another.  Employees then could post messages on topics of their choice (with company policy parameters/policies ALWAYS).
 
This approach is a way an organization can "survey" ideas quickly and easily as well!  Also, a project manager can keep in touch with the project team to ensure timelines are on target and all members understand and are kept up to date on important issues related.
 
 Stay in touch with how your employees are viewing the workplace
Having an HR section for things like a feedback section on how they feel about their work is good use of such a communication tool. Further this approach would improve the way that  HR communicates with employees for such things as benefit details/changes, certain forms or any regular types of updates and other communications needed to share.
 
 Changing organizations
As so many organizations are restructuring, acquiring other employees etc, this approach to communication is important to help educate others on the the culture of the organization and allowing for consistent communications getting to everyone in the same manner.  Decreasing the likelihood of miscommunications.
 
Consider alternative work schedules
 This approach is also ideal for telecommuting. Those that work from home or have flexible work schedules would easily be able to share information without having to be present at the worksite.
 
Like any changes think through the importance of having a policy with parameters related to proper use of this type of communication vehicle.
Special Considerations 
  •  A clear policy on proper use is important
  • The communication has to be free and trusted that it will not be used against anyone
  • Reminders on proper professional communications will be important
  •  Self policing of the information shared is important
Think about this...most organizations share one common problem.... communication!
