Word: Find and Replace Formats
Save time making format changes
Many people use the Find and Replace feature to locate and replace text but did you know that you can also use this feature to find and replace formats?
Scenario: You have subtitles throughout a multi-page document that were formatted in Arial font, size 12, and a text color of red. You have been requested to change all subtitles to Times New Roman, size 14, and a text color of blue.
Overview: Start the Find and Replace with Ctrl+ F and click the More button to access the Formats button.
Instructions:
- Press Ctrl+F
- Click the Replace tab
- Click the More button (see Figure 1) - the Find and Replace dialog box will then expand (see Figure 2 )
- Click in the Find what box
- Click the Format button (see Figure 3)
- Click the Font button (the font dialog box appears)
- Click each format you are looking for
- Click OK when complete (you are returned to the Find and Replace dialog box)
- Click in the Replace with box and repeat steps 5 thru 7 to specify the replacement formats
- Click OK when complete
Start the search by clicking Find Next and then follow with Replace for each occurrence of the format you wish to replace with the new format. If you know for certain that you want all data that matches the find criteria to be replaced click Replace All.
