How often have you had the need to include a note about a figure in a cell or write any other type of notation relative to data in your spreadsheet? You can include notes in your spreadsheet in a neat and ordered manner using Excel's Comments feature. You are only a right-click away from adding comments. Read on for the instructions.
Adding a comment to a cell
- Right-click in the cell you wish to add a comment
- Click Insert Comment (a text box will appear)
- Type your notation in the textbox
Note: Click in another cell and the text box will disappear and you will see a small red triangle in the upper right corner of the cell you inserted the comment within.
Viewing a comment in a cell
Place the mouse pointer over the cell containing the red triangle and your comment will appear.
Editing and/or Deleting a Comment
- Right-click the cell containing the comment
- Choose Edit Comment to edit OR
- Choose Delete Comment to delete
Printing Comments
You can print comments by specifying this in the Page Setup dialog box under the Sheet tab. There you will find the option to specify that comments print at the end of the sheet. This means that the last page of your print job will be a list of all the comments you included in the spreadsheet. The list will include the cell address of the comment and the comment itself.
Accessing the Page Setup dialog box to print cell Comments
Excel 2003 Users:
- File > Page Setup
- Click the Sheet tab
- Click the down arrow in the Comments box to specify that comments print at the end of the sheet
Excel 2007 Users:
- Click the Page Layout tab
- Look for the PageSetup group, locate and click the small arrow located in the lower right corner of the Page Setup group and the Page Setup dialog box will appear.
- Click the Sheet tab
- Click the down arrow in the Comments box to specify that comments print at the end of the sheet.
Office 2007 Users: Some groups on the Office Ribbon for a given program have a small arrow located in the lower right corner of the group. These arrows are known as dialog box launchers because they launch dialog boxes that contain options that are not displayed within the group options.
