Word 2003 Tip - AutoText
 
Save time with AutoText

Do you type certain text over and over again? Save time by creating an AutoText entry.

 
AutoText can be used to insert a single word, entire paragraphs, signature blocks, hyperlinks and even a graphic!

 

Scenario: You routinely type Department of Human Resources in Word documents and would like to quickly insert those words when needed. You can assign a four character shortcut by creating an AutoText entry.

 
Note: These instructions do not apply to Word 2007.  Please write us at Train@MOSTraining.com if you would like the instructions for the Word 2007 equivalent feature.
 
AutoText instructions
  1. Select your text (i.e., word, paragraphs, graphic)
  2. On the Insert menu, point to AutoText, and then click New
  3. The Create AutoText box appears - replace the name in the box (if one appears) with a four-character shortcut for your entry
  4. Click OK to complete

Using your new shortcut

Type your four character shortcut, press enter and your data appears!  
 
Important Tip:  The shortcut must be a minimum of four characters to work. Do not assign a four character word that you would actually need for use in your document, i.e., form, from.
Example: You could use dohr as the four-character shortcut for Department of Human Resources. In the future when you type dohr and press the enter key Department of Human Resources will appear in your document.
 
Removing AutoText entries
  1. On the Insert menu point to AutoText, and then click AutoText...
  2. Click the AutoText tab
  3. Click the entry you wish to delete from the list
  4. Click the Delete button located on the right of the dialog box
  5. Click OK to complete
